BUDGET & PRICING

The real cost of a software subscription

Seats are only the start. A simple framework for comparing the whole bill.

Name the unit you are paying for

Different products charge for seats, contacts, sends, tasks, credits or a combination. Define that unit before comparing headline prices. Two automation platforms can advertise similar entry prices while counting the same workflow differently. Use an execution history from a trial to estimate real usage.

Separate the first invoice from the renewal

Record the introductory offer and the standard price in separate columns. Include the billing interval, currency and tax information from the vendor. Annual billing may lower a monthly equivalent while committing you to a larger upfront payment. Compare the commitment as well as the equivalent monthly amount.

List features that force an upgrade

Permissions, audit history, automation and advanced reporting often determine the plan you actually need. During a trial, record every upgrade prompt encountered in your essential workflow. Ask the vendor for a written explanation of limits and overage behaviour rather than relying on a label such as “unlimited”.

Include the cost of getting started

Migration, integration setup, training and ongoing administration take time. Estimate the hours your team will spend and assign an internal cost. A tool with a cheaper subscription can cost more overall if it requires frequent manual fixes or an administrator to maintain a complex configuration.

Use three scenarios

Calculate a normal month, a busy month and a growth scenario. For email, vary contacts and send volume. For automation, vary executions and the number of steps. For a help desk, vary agents and required channels. This reveals products that become expensive precisely when your business is doing well.

Check the cost of leaving

Include export work, replacement integrations, contract notice and access after cancellation. Your total cost model should help the business choose a sustainable workflow, not just the cheapest first invoice. Keep the spreadsheet with the final quote so the next renewal has a clear baseline.
