PROJECT MANAGEMENT / RECORDS, ROLES AND COSTS

Airtable vs Smartsheet:
structure the work and price the roles.

A record base and a project sheet solve different coordination problems.

START WITH YOUR BUYING BRIEF

Model the relationships.
Then check who can change them.

Include Airtable when work connects several kinds of records, such as projects, assets and suppliers. Include Smartsheet when schedules, formulas, reports and approvals are central to delivery. A spreadsheet-like view does not make them equivalent. Map the records, collaborators and reporting you need before comparing a free workspace with a paid team plan.

Seven differences that change the shortlist

Two editors starting a lightweight project

Will an ongoing free workspace cover the actual data?

Airtable: Free can fit two editors if record, attachment and workflow limits also fit.

Smartsheet: Two Pro Members have an annual base of £168.

Smartsheet: 2 × £7 × 12. Trial access and free Contributors are not a free two-editor team subscription. Taxes and extras are not modelled.

600 projects and 500 linked assets

Do separate tables restore the record allowance?

Airtable: If both tables live in one Free base, 1,100 total records exceed the 1,000-record cap.

Smartsheet: Translate the relationships into the actual sheets, links and reports before selecting a tier.

Airtable’s cap is per base, not a fresh 1,000 for every table. Splitting records into separate bases changes cross-base work; it is not an equivalent fix.

Two editors and three commenting clients

How many paid collaborators need a quote?

Airtable: On Team, this brief has five billable roles under the documented Commenter-or-higher rule.

Smartsheet: Two Pro Members plus three comment-only Contributors may fit if clients never need editing.

On Airtable Business the paid-role threshold differs; do not carry the Team count into its price. Smartsheet sharing permissions and actions must preserve comment-only access.

Two internal editors need timeline and external editing

Does the capability require the larger package?

Airtable: Test the paid view, interface and client role before quoting.

Smartsheet: Business has a three-Member minimum: annual base £540; twelve monthly payments £684.

The minimum can produce three billed Members for two internal editors. Confirm that the external person qualifies as a Guest and does not need administration or creation rights.

A table is a view; a base is the data model

Build a small example that connects a project, its owner and three assets. Change one asset and inspect every place it appears. Airtable’s linked-record approach can suit that structure; Smartsheet may suit a schedule and report-led process. The comparison should finish the same business handover, even if the underlying model differs.

Name the recurring report before building the system. Check whether you can answer it without duplicating fields or maintaining several versions of the same data. Include how somebody exports and reconstructs the relationships later.

Count billable roles before using the seat fee

Airtable Team counts Commenter-or-higher base or workspace collaborators for billing; Business uses Editor-or-higher. A reader, commenter and editor are different roles, so a team headcount alone is not a billable-seat count. Ask for the rule that applies to your workspace and contract.

Smartsheet’s annual-billing GBP equivalents are £7 for Pro and £15 for Business; monthly-billed prices are £10 and £19. Business requires at least three Members. Pro is currently offered to new customers, so existing accounts should confirm eligibility rather than assume an immediate switch. Tax and premium extras are not included in the worked base calculations.

Under Smartsheet’s current user model, a sharing permission plus an editing or creation action can create provisional membership. What happens later depends on approval settings and admin review. Check the settings and review cadence before assuming new editors remain free or automatically become paid.

A failed run can still consume capacity

Airtable counts trigger invocations towards its monthly automation allowance even when actions fail. Its Free plan lists 100 monthly runs per workspace. A hypothetical workload with 95 successful triggers and ten failed attempts totals 105, already above that allowance. Adding another base does not add a fresh workspace allowance.

Do not equate Airtable automation runs with Smartsheet automation capacity. Define the triggers, actions, conditions and external email recipients, then inspect what each product counts. An allowance can fit numerically while a required script or recipient is unavailable on the chosen tier.

Try one small intake-to-approval process

Create a synthetic request form, assign an owner, link the relevant asset and set a due date. Ask a client test account to comment without changing protected information. Check the experience on a phone.

Build the intended report, invoke one successful automation and one deliberate failure, then review usage and access roles. Export the result and check attachments and identifiers outside the platform.

No Airtable–Smartsheet trial or speed benchmark was executed for this article. Keep the exact paid package and permission model in the evaluation notes.

Questions before you choose

Are Airtable’s free 1,000 records per table?

The checked allowance is 1,000 records per base across its tables. A base containing 600 project records and 500 asset records totals 1,100 and exceeds it.

Are commenting clients free on Airtable Team?

The documented Team billing threshold is Commenter or higher. Business uses Editor or higher. Confirm the plan and contract before treating every client as a free collaborator.

Can two people buy Smartsheet Business at two seats?

The displayed Business package requires at least three Members. At the checked annual-billing GBP equivalent of £15, the three-Member base is £540 per year, before tax and extras.

Does Smartsheet automatically charge every new editor?

The current model can grant provisional membership. Conversion or downgrade depends on sharing, actions, approval settings and admin review. Check the plan’s actual settings instead of assuming either outcome.

Keep the assumptions with the figures

Use the date, billing cycle, units and limits with each example. Check current account terms before purchasing. Unverified prices and model costs stay unpriced.
