Zoho Books vs Sage Accounting:
budget for the year after the offer.
Match invoice volume, bank work and supplier needs before comparing the subscription.
An entry fee is a first checkpoint.
The retained workflow sets the budget.
Shortlist Zoho Books for a small free invoicing start or paid bank and purchasing work. Shortlist Sage Accounting when its UK accounting and bundled payroll arrangement fits the process. Compare the required tier, ongoing fee and add-ons rather than treating the introductory amount as a permanent price.

Four worked buying briefs
These are hypothetical scenarios with explicit assumptions. They do not establish equal capabilities, measured usability or a negotiated price.
| Plan / billing arrangement | Standard twelve-month base GBP | Eligible introductory twelve-month base GBP | Assumptions |
|---|---|---|---|
| Zoho Standard / annual | £120.00 | Not modelled | One organisation, same tier all year |
| Zoho Professional / annual | £240.00 | Not modelled | One organisation, same tier all year |
| Sage Standard / monthly | £516.00 | £283.80 | Six promotional + six standard monthly fees |
| Sage Plus / monthly | £708.00 | £389.40 | Six promotional + six standard monthly fees |
950 invoices and one operator
Can an ongoing free start fit the workload?
Zoho Books: 950 annual invoices is below the 1,000 allowance; one operator plus accountant fits the listed access.
Sage Accounting: Evaluate Start as paid production access after any trial.
This brief assumes manual bank work. Requiring a connected feed changes the Zoho tier even when the invoice count fits. Neither headcount nor invoice capacity proves that every needed accounting process is included.
1,200 invoices and connected bank feeds
Can the team retain the free arrangement?
Zoho Books: The invoice count exceeds Free. Standard lists bank feeds and three users; its annual base is £120.
Sage Accounting: Confirm Start or Standard against the actual supplier and access requirements.
Zoho Standard at £10 × 12 annual billing is £120; twelve £12 monthly fees total £144. A count fit is not an automatic recommendation: the operator and accountant must check the needed transaction workflow.
Foreign supplier payments and five internal users
Which tier completes the currency and purchasing brief?
Zoho Books: Professional includes the relevant bills, orders and multicurrency scope; £20 × 12 gives a £240 annual base.
Sage Accounting: Evaluate Plus and its £59 standard monthly fee; twelve identical fees total £708.
These are different packages, not equivalent product bundles. Reconcile exchange differences, supplier balances and user permissions. Tax, payment processing and migration are outside the base figures.
A three-person business needs receipt capture and payroll
Does the base fee cover the finished service?
Zoho Books: List the scanning allowance and the separate payroll provider or arrangement.
Sage Accounting: Standard lists an included receipt allowance and one included payroll employee; additional use can cost more.
Use real capture volume and the eligible employee count to request the final quote. Do not assume the promotional percentage discounts extra employees, scans or other services.
Keep promotional and ongoing years side by side
The fixed-plan illustrations below hold the package and published fees constant. Sage’s checked offer discounts the base fee by 90% for six months, with the standard amount for the following six. On that assumption, Standard is £283.80 for the first twelve months and £516 for twelve months at the ongoing fee; Plus is £389.40 and £708. Both exclude VAT.
An offer is conditional. Sage’s general promotion terms exclude an existing active subscription to the relevant product, normally apply to the base product rather than add-ons, and allow one promotion per order unless stated otherwise. Confirm eligibility and the package’s specific terms before treating the illustration as a purchase quote. A trial and discounted purchase are separate entry routes.
Zoho Standard and Professional have both annual and monthly billing options. The examples keep the organisation on one tier for twelve months. Renewals, mid-year upgrades, services and local tax can change the actual bill.
Count transactions and connected work separately
Record the annual invoices, purchases and expenses you need to retain. For Zoho Free, 950 invoices leaves 50 of the checked annual invoice allowance; 1,200 exceeds it by 200. This is a workload calculation, not a tax-year filing test.
A bank account record, a manually imported statement and an automatic bank feed are different arrangements. Confirm the particular bank, consent renewal and supported connection. A low invoice count does not supply a feature from a paid tier.
Confirm the operational boundary
An invoice and a paid supplier bill complete different sides of the business. Test one credit note, supplier payment and bank reconciliation using synthetic records. Include a foreign-currency transaction if that requirement selects the tier.
Payroll employee allowances and receipt-capture allowances can turn a base-only comparison into an incomplete budget. Record the units, included allowance, overage fee and who approves spending. Confirm the particular business and filing scope with your accountant; no filing, payroll or accuracy benchmark was performed for this comparison.
Reconcile a small migration before changing systems
Prepare one cutover date, opening balances, unpaid invoices and supplier balances. Import synthetic examples, record a payment and reconcile it to a test statement. Ask the accountant to inspect the same output in both products.
Check that exports include the required history and attachments. Document what must be completed in the previous system before final migration. The worked budgets are hypothetical; no live books, HMRC filing or vendor subscription was changed.
Questions before you choose
Is Zoho Books Free restricted to one operator?
The current UK offer lists one user plus one accountant and an annual invoice allowance. Paid workflows and the separate full trial should not be treated as retained Free access.
Does Sage’s six-month offer last all year?
The checked offer has six discounted base fees followed by six standard fees. The calculation assumes eligibility and unchanged prices; it excludes VAT and extras.
Is £120 a per-user Zoho Standard annual price?
No. The illustrated £120 is one organisation at £10 per month billed annually, with the listed three-user allowance. It is not £120 for each included user.
Which product is guaranteed to handle every UK tax requirement?
No universal coverage is established here. Check the particular business, filing, product and integration scope with the vendor and your accountant.
Keep the assumptions with the figures
Use the date, billing cycle, units and limits with each example. Check current account terms before purchasing. Unverified prices and model costs stay unpriced.
