CRM GUIDE

How to choose a CRM for a small business

Choose around your sales process, your team and the cost of growing your customer base.

Define what happens to a new enquiry

Map your current journey from a new lead to a completed sale. Write down who responds, when the next action happens and where information gets lost. A CRM earns its place when it makes that process more reliable, rather than adding another database that nobody updates.

Decide whether you need a pipeline or a suite

A sales-focused team may put pipeline visibility and activities first. A team that wants sales, marketing and support to share records may need a broader platform. HubSpot, Pipedrive and Salesforce are three different starting points in our catalogue. Our profiles link to current vendor information; the recommendation depends on your actual needs.

Test the parts that affect daily adoption

Import a small sample of contacts, deduplicate it and create a live-style opportunity. Log an email, assign the next activity and show the pipeline to a colleague. Count how many steps routine work takes. Check the mobile experience and whether the plan provides the reports your manager will ask for.

Model the cost of growth

Free tiers can help you test the product, but automation, permissions and reporting may sit on higher plans. Calculate the required seats and any marketing contact or add-on charges. Ask what changes when you double your customer count or add a second sales team. Verify current limits on the official pricing page.

Keep customer data portable

Export the sample contacts and custom fields during the trial. Review permissions, integration ownership and the process for removing a departing employee. Decide who maintains data quality. Even a capable CRM cannot compensate for missing contact details, duplicates and inconsistent deal stages.

Shortlist by fit, then trial

Compare HubSpot CRM and Pipedrive if you are deciding between a connected customer platform and a pipeline-oriented approach. Include Salesforce if its configuration and ecosystem fit the complexity of your process. Do not buy on a feature count alone: finish the same workflow in each shortlisted product first.
