CRM / UK TEAM AND EMAIL REQUIREMENTS

Capsule CRM vs Pipedrive:
price the tier your sales team needs.

Compare the email workflow, work after the sale and the people who affect the bill.

START WITH THE NEXT ACTION

Price email sync
before the entry plan.

Consider Capsule when you want contacts, opportunities, tasks and project boards together, including a limited ongoing free option. Consider Pipedrive for a pipeline-centred sales process and its paid sales toolkit. If your essential workflow needs email sync and automation, compare the checked Growth tiers first. Price projects and marketing separately where the required plan does not include them.

A free CRM and a paid trial serve different needs

Capsule Free can be a starting point for two people managing up to 250 contacts with limited pipelines and project boards. It does not establish that your automated email workflow will remain free. Pipedrive's checked plans offer a 14-day trial, so complete the trial against the specific paid tier your team would continue using.

Follow the sale into the delivery team

If the same people deliver the service after winning a deal, test how the customer record becomes the next project and whether the important history remains accessible. Capsule includes project boards and adds multiple boards on Growth. Pipedrive Projects is an extra on Lite and Growth, and included on Premium and Ultimate. A feature label alone does not tell you whether your actual handover is complete.

Capsule GBP prices with annual billing

These GBP amounts are monthly equivalents per user of an annual commitment, paid in advance. They exclude taxes and optional add-ons. They are not monthly-billed rates.

Growth£27.00£324.0060,000
Advanced£42.00£504.00120,000

Ultimate's fee was not numerically verified in this session. Request a proposal if you need its account-management and training arrangement. Capsule's terms put taxes outside the listed fee; include the applicable tax and any marketing, integration or onboarding work in your final budget.

Keep the Pipedrive quote in pounds

A current Pipedrive GBP rate is not verified here. Ask for a GBP quote covering the exact plan, billing cycle, seats and extras. Currency can depend on your location.

That missing GBP amount prevents a numerical price winner in this comparison. It does not prevent checking feature gates or calculating Capsule's verified annual commitments.

Four team scenarios to take into the quote

The Capsule figures below are base annual commitments with a fixed user count. They exclude taxes and extras. Each Pipedrive column identifies the arrangement to price rather than supplying an unverified pound amount.

Two people with a straightforward pipeline

Consider Capsule Free first if 250 contacts and its feature boundaries cover the work. This paid example models a larger contact book; the plans are not declared equivalent.

Three people needing email sync and automation

Both checked Growth tiers list email sync and automation. Test the exact mailbox connection and action limits rather than matching only the plan name.

Five people handing sales into project delivery

Compare Capsule project boards against the receiving project workflow in Pipedrive. Get both Pipedrive arrangements priced; the cheaper base tier may need an add-on.

Five people needing more Capsule contact capacity

Capsule Advanced lists 120,000 contacts. Pipedrive leads/deals limits are a different measure, so no equal contact allowance is assumed.

Count paid access, not just today's active colleagues

Capsule's monthly billing documentation counts active, suspended and pending users. Its annual model follows the agreed user commitment; removing users during the cycle does not reduce that cycle's charge. Pipedrive charges purchased seats even when they are unassigned. Two spare Pipedrive seats can therefore change a three-person team's quote into a five-seat bill.

For an annual Pipedrive quote expressed as a monthly-equivalent GBP seat fee, the base commitment is paid seats × seat fee × 12. Include the vendor's add-ons and any usage top-ups separately, following the quoted billing cycle. A three-person comparison should use three paid seats only when that is the real purchased count.

Use one small sales workflow in both trials

  1. Import a small synthetic contact file with a known custom field and one intentional duplicate. Check the mapping and deduplication result.
  2. Create an opportunity, assign its owner and save a dated next action. Ask another colleague to find it from the customer record.
  3. Connect a test mailbox you are authorised to use. Check what is logged, who can see it and how a reply changes the follow-up workflow.
  4. Run an automation twice with the same event. Inspect whether you receive duplicate tasks and how execution allowances are counted.
  5. Mark the opportunity won and create the delivery work. Check whether Projects, boards or an integration require additional payment.
  6. Export contacts and opportunities, then inspect the files outside the CRM. Verify custom fields and relationship identifiers before planning a migration.

Record which tier enabled each essential action. A free trial may show a capability that will not remain available on the lower plan you intend to buy. We have not executed this Capsule–Pipedrive trial; the checklist is the matched test to run before choosing.

Choose by the work you can keep consistent

Capsule's combined relationship and project-board model can fit a small sales-and-service team. Pipedrive's pipeline and paid sales tools can fit a team that wants to concentrate on opportunities and follow-up. The practical choice depends on the email workflow, handover and reporting you finish in the trial, alongside a complete same-currency quote.

Questions before you choose

Can Capsule CRM replace Pipedrive for free?

Capsule's checked Free plan allows two users and 250 contacts with limited pipelines and project boards. That can fit a small manual workflow, but does not establish equivalent email sync, automation, reporting or migration for your Pipedrive setup.

Which plans include email sync and workflow automation?

The checked starting point is Growth in both products. Confirm the required email provider, automation actions, permissions and limits during the trial; sharing a plan name does not make the implementations equivalent.

Is Capsule Starter £14 a month without an annual commitment?

The £14 figure was displayed per user per month with annual billing selected. It is a monthly equivalent of an annual commitment, excluding taxes and extras. Monthly-billed rates are not quoted in this comparison.

Why is there no Pipedrive GBP price in the table?

A current Pipedrive GBP price is not verified here. Get a GBP quote with the exact plan, seats, billing cycle and add-ons before comparing the annual total.

Before you use these examples

The worked examples are calculations, not product trial results. Confirm the plan, billing cycle and conditions against your own requirements.

  • Capsule examples use the observed GBP monthly-equivalent annual fee multiplied by users and twelve months.
  • Taxes, marketing, integrations, migration and other extras are outside the base examples.
  • No Pipedrive GBP price or cost advantage is assumed.
  • A Capsule contact and a Pipedrive lead or deal are different records; their limits cannot be compared as identical capacities.
