Which collaboration approach fits?
Consider Nextcloud when control of the hosting and collaboration stack fits the organisation’s needs and operating capacity. Consider OneDrive when its Microsoft-managed file service and selected personal or business account fit the workflow. Compare a complete service arrangement: free Nextcloud software is not hosted storage, and a personal OneDrive allowance is not an organisation-managed document platform. Team-owned Microsoft libraries may also involve SharePoint.

Will the team retain its files when the original author leaves?
Nextcloud: Place the sample in the intended group or shared arrangement with a maintainer.
Microsoft OneDrive: Choose the appropriate OneDrive or SharePoint ownership arrangement.
A folder shared from a person’s account is not automatically the best permanent departmental archive.
External reviewer
Can a reviewer edit only the agreed document?
Nextcloud: Test the selected link/user permissions with an isolated identity.
Microsoft OneDrive: Test the same requirement under the actual tenant/account sharing settings.
Inspect resharing and linked files, then confirm access removal without contacting a real supplier.
Office document
Does the required file survive collaborative editing?
Nextcloud: Use the exact selected Office integration and deployment.
Microsoft OneDrive: Use the intended Office web or desktop application entitlement.
Check a representative file with comments, tables and tracked revisions; opening the file is not a fidelity result.
Deleted test file
Can an authorised owner restore the required version?
Nextcloud: Review application recovery, underlying backups and operator responsibilities.
Microsoft OneDrive: Review the account’s version/recycle and organisational recovery arrangements.
Record what is retained and who can act; ordinary sync is not a complete independent backup plan.
Start with the future file owner
Ask who should control the files after a project closes or an employee leaves. Map the answer to an actual storage arrangement rather than a shared-link habit. In Microsoft environments, a team document library can involve SharePoint alongside OneDrive’s user-focused storage.
For Nextcloud, identify the hosting administrator, group storage design and connected applications. A provider may operate some of the stack, but that responsibility should be written down. Compare user and team ownership on both sides before proposing a migration.
Price the running service
Nextcloud’s free software still needs compute, storage, updates, backups and recovery operations. Optional enterprise support and hosting providers add different service arrangements. OneDrive subscriptions also leave the organisation responsible for account lifecycle, sharing policy and the appropriate plan.
Define file editing separately from storage. Include the actual Nextcloud Office integration or Microsoft Office entitlement and validate a representative document. Price migration and handover as well as the recurring storage allowance, and keep backup requirements distinct from synchronisation.
Questions before you choose
Does Nextcloud’s free software include hosted storage?
No. Self-management needs infrastructure and an operator; hosting providers and commercial support have separate terms.
Is a personal OneDrive account the same as business-managed storage?
No. Administration, ownership and capabilities differ. Use the intended personal or business arrangement in the evaluation.
Does file synchronisation replace a backup plan?
Not automatically. Define retained versions, independent backups where required and the actual recovery process.
