FILE SHARING COMPARISONS

Google Drive vs OneDrive:
choose the right home for your files

Compare Google Drive and Microsoft OneDrive for free storage, document collaboration, offline access and the ownership model behind business file sharing.

START WITH YOUR BUYING BRIEF

Choose around the work.
Check the retained plan.

Shortlist Google Drive when Google documents and eligible Workspace shared drives fit the team’s working model. Shortlist OneDrive when Microsoft documents and the existing Microsoft account environment are central. For ongoing shared company files, compare Google shared drives with the Microsoft team-site arrangement, rather than treating an employee’s personal folder as the whole solution. Storage capacity matters after ownership, editing and external access requirements are clear.

A person needs more storage

Which existing material consumes the shared quota?

Google Drive: Inventory Drive, Gmail and Photos before selecting a Google One offer.

Microsoft OneDrive: Inventory OneDrive and other applicable Microsoft cloud usage before choosing a plan.

Use the actual account’s storage breakdown. Capacity from a different household, business or historical subscription is not the allowance being purchased.

A department keeps files after staff changes

Does the library belong to the company or an individual?

Google Drive: Evaluate an eligible Workspace shared drive and its membership.

Microsoft OneDrive: Evaluate a Microsoft team site alongside individual OneDrive storage.

Use a synthetic project folder. Assign a second owner, remove the original contributor and verify that the remaining team can still find and manage the intended material.

A client reviews a working document

Can the client make only the intended changes?

Google Drive: Configure the proposed Drive sharing and client account route.

Microsoft OneDrive: Configure the proposed Microsoft sharing and guest route.

Prepare a sample document with comments and a restricted neighbouring file. Check access as the client, then revoke the share and retain the result.

A traveller edits without dependable internet

Which files are actually present locally before departure?

Google Drive: Choose the appropriate streaming, offline or My Drive mirroring setup.

Microsoft OneDrive: Prepare the intended local file availability using the selected client.

Use non-sensitive sample files, disconnect after preparation and reopen them. Include a large attachment and an edit that must later reconcile; record the observed outcome.

A shared link is not a durable ownership plan

Start with the documents that must survive a change of employee. Put them in a named library with an owner, a membership rule and a review date. The library should still make sense when the person who created its folder leaves. Google shared drives and Microsoft team sites are relevant because they address that organisational question; comparing only personal free quotas misses the requirement.

In the pilot, invite a second person to manage the sample project and remove the first contributor through the normal administration process. Check more than whether an old link opens. The remaining owner should be able to organise the material, grant the intended client access and locate the relevant version. Keep the account and storage location with the result so it can be repeated.

Test the documents and devices your team actually uses

A storage decision can become an editing decision once collaborators work on the same file. Bring a representative document, spreadsheet and attachment to the pilot. Ask an internal colleague and an external reviewer to complete a small revision. Check formatting, comments and the final deliverable in the software the recipient will use. Do not infer compatibility from an empty document opening successfully.

Offline preparation deserves its own acceptance step. A visible filename is not proof that its contents are available on a disconnected laptop. Prepare the intended material, verify the local state and reconnect after editing. Include this process in onboarding and travel guidance. Also record the local disk space needed; cloud capacity and space on a device solve different parts of the workflow.

Questions before you choose

How much free storage do Google Drive and OneDrive provide?

A personal Google Account includes up to 15 GB shared with Gmail and Photos. Microsoft’s free personal cloud allowance is 5 GB. These are personal allowances, not the storage entitlement of a business subscription.

Can a personal Google Account create a shared drive?

No. Shared drives are an organisational Workspace capability with edition and policy conditions. A personal account can be invited where the organisation permits external membership.

Is OneDrive the same as a Microsoft team site?

No. Microsoft positions OneDrive for individual work and selective sharing, while team sites support regular collaboration and shared ownership. Consider both locations when planning company files.

Which service works better offline?

This page does not establish an offline winner. Configure local availability on the intended device, disconnect and reopen representative files. Record the result of your own pilot, including any reconciliation after reconnecting.

Turn the comparison into your own evaluation

Use the same criteria and priorities for both products, keep unknowns unassessed and record the plan and evidence behind your ratings.
