Collaboration software comparison

Microsoft SharePoint vs Confluence

Compare SharePoint and Confluence for shared documents, intranet content, team knowledge, version workflows, external access and implementation responsibility.

START WITH YOUR BUYING BRIEF

Which collaboration approach fits?

Start with SharePoint when organisation-owned document libraries, sites and Microsoft 365 collaboration are central. Start with Confluence when maintained team knowledge and Atlassian-connected content are central. They overlap, and a business can use both. Define whether the authoritative item is an Office file, a knowledge page or a published intranet resource before comparing features or planning migration.

Policy document

Where does the approved policy live and how is it revised?

Microsoft SharePoint: Design the library or site publishing process and name the owner.

Confluence: Design the knowledge-page process or linked-file arrangement.

A page linking to a document can become stale even when the underlying file has a newer version.

Project workspace

Can readers find the brief, decisions and related files?

Microsoft SharePoint: Organise the site, navigation and library with the intended roles.

Confluence: Organise the space, pages and attachments with the same roles.

Use one real information structure with synthetic content, not an empty feature demo.

Supplier access

Can a supplier reach just the agreed working material?

Microsoft SharePoint: Review tenant sharing policy, site access and the actual file link.

Confluence: Review the guest scope and linked resource permissions.

Test the final access removal for the isolated guest as well as the initial invitation.

Move the archive

Can content move without losing its meaning?

Microsoft SharePoint: Inventory metadata, file versions, permissions and old URLs.

Confluence: Inventory page relationships, attachments, permissions and old URLs.

A bulk text export is not evidence that every version, link or permission will survive a migration.

Choose the authoritative content model

A knowledge page and an Office document can describe the same procedure while having different revision, ownership and review processes. Decide which item is authoritative and how another surface links to it. Avoid creating two copies that silently diverge.

SharePoint can publish pages as well as store files, and Confluence can hold more than static text. A useful comparison follows the required author, approver and reader through the whole process. Confirm the edition and configuration that make the proposed process possible.

Include implementation and ongoing ownership

A site architecture, permission structure and migration need work even when licences already exist. Record who builds navigation, assigns owners and maintains external access. An existing Microsoft 365 or Atlassian subscription can influence cost without proving that the new content structure is ready.

For a migration, rehearse a representative sample containing attachments, older versions and links from elsewhere. Document any unsupported fields or history. Price remediation and administration alongside the subscription instead of treating an import button as a complete migration service.

Questions before you choose

Does SharePoint only store files?

No. SharePoint also supports sites and intranet publishing. Evaluate the actual content model and configuration.

Can SharePoint and Confluence coexist?

Yes, if their responsibilities are clear. Name the authoritative item and avoid unmanaged duplicate copies.

Does an existing subscription remove migration costs?

No. Inventory, mapping, permissions, link repair, training and ownership can still require work.
