SOFTWARE BUYING DECISIONS

Microsoft 365 vs Google Workspace:
desktop Office, browser collaboration and migration scope.

Compare Microsoft 365 and Google Workspace for desktop Office, browser collaboration and migration scope, with practical buying briefs and plan boundaries.

START WITH YOUR BUYING BRIEF

Start with the work.
Then choose the package.

Microsoft 365 is a strong shortlist when desktop Office files and Microsoft account administration define the work. Google Workspace is a strong shortlist when company Gmail and collaborative browser documents define it. Neither direction settles file compatibility, migration effort or the correct licence. Compare the actual editions and exercise representative documents before moving company email.

An accounts team exchanges complex spreadsheets

Will the real workbook survive the workflow?

Microsoft 365: Open the representative workbook in the intended desktop and web licences.

Google Workspace: Import the same workbook and review formulas, layout and export.

Use an authorised copy with expected outputs. Do not assume that a file opening proves full calculation or macro compatibility.

A new company needs email and shared working files

What must be ready on the first day?

Microsoft 365: Specify mailboxes, account administration and file ownership.

Google Workspace: Specify company Gmail, shared file organisation and account administration.

Write a starter, leaver and recovery procedure before choosing the cheapest advertised seat.

A remote team edits proposals together

Which authoring environment will everyone actually use?

Microsoft 365: Rehearse concurrent edits and a client Office export.

Google Workspace: Rehearse concurrent edits and a client Office export.

Give reviewers the exported file rather than the source editor link; record where formatting must be repaired.

A business wants AI in company documents

Which assistant features are in the quote?

Microsoft 365: Name the exact Copilot package and any metered agent use.

Google Workspace: Name the Workspace edition and Gemini functions for each app.

Use approved sample content and an answer checklist. A chat feature is not proof that every application has the same assistant access.

Inventory work before moving mail

A suite migration is a change to working files, identities and routines, not just an email import. List business-critical spreadsheets, document templates, shared addresses, calendars and external sharing arrangements. Mark which items must retain behaviour and which can be rebuilt. Ask the people who maintain these items to review a small sample in the proposed environment before a subscription commitment is made.

Plan the cutover as a sequence with an owner and a reversal point. Decide where new messages and files belong during transition, how users find historical material and who handles missing permissions. A pilot should include one new starter and one departing employee, using approved test accounts. This makes the administrative cost visible alongside seat prices without pretending that a successful demonstration guarantees a complete migration.

Build a role-based suite budget

Divide staff by work rather than assigning the most visible plan to everyone. A person who only reviews browser documents may have different needs from a finance specialist maintaining desktop spreadsheets. Specify required applications, device access, storage, meetings and administration for each role, then map those requirements to a named package. Keep existing licences in the calculation until the old workflow can actually be retired.

Compare commitment, tax and optional services over the same period. Add migration assistance, staff training and any parallel-running months. Treat AI as a defined workload with an authorised content set and a realistic usage allowance. The correct comparison is the cost of supporting the organisation’s tasks, not a headline monthly figure assembled from different regions or billing terms.

Questions before you choose

Is either business suite permanently free?

The business subscriptions evaluated here offer trials. Free personal Office web apps and personal Google accounts are separate products and should not be treated as equivalent managed business suites.

Does Microsoft 365 always include Teams?

No. Microsoft lists packages with and without Teams. Check the exact product in the quote rather than inferring inclusion from the Microsoft 365 name.

Does every Google Workspace edition have the same storage?

No. Business editions publish different pooled storage allowances. Compare the organisation’s file requirements with its actual edition and any retention needs.

Which suite is better for existing Office files?

Microsoft 365 is a sensible starting shortlist for Office-dependent work, but compatibility should be evaluated on representative files. No hands-on file-fidelity result is claimed in this comparison.
