Kenjo vs HR Partner: shift operations, employee records and payroll handover
Compare workforce scheduling with core HR administration, and specify the payroll handover, administrator capacity and add-ons required by four hypothetical teams.
Start with the required workflow.
Then select the retained package.
Kenjo merits an initial shortlist when shift planning and attendance are central to the operating brief. HR Partner offers a records-and-leave route with a separate Premium step for recruitment and time recording. Neither product’s payroll wording alone proves UK statutory payroll delivery: define the employer country, payroll system and exact handover.
Seven differences that change the shortlist

Four worked buying briefs
These are hypothetical scenarios with explicit assumptions. They do not establish equal capabilities, measured usability or a negotiated price.
| Buying brief | Kenjo | HR Partner |
|---|---|---|
| Forty shift workers across two locations | Evaluate shift planning with actual staffing patterns and attendance exceptions. | Evaluate time recording, but require a demonstration of the scheduling brief rather than inferring rota support. |
| Twenty-five office staff need leave and starter checklists | Request the required employee-record and onboarding package; advanced onboarding is listed in Growth. | Core is the starting point for records, leave and onboarding checklists. |
| Eighty staff retain an existing payroll provider | Specify payroll groups, preparation attributes and the export the provider accepts. | Check the actual provider integration and direction of employee/leave data transfer. |
| A growing company has eight HR administrators and recruitment needs | Specify administrator permissions and recruitment add-ons separately. | Premium includes recruitment and up to ten administrators, fitting this stated admin count. |
Forty shift workers across two locations
Which workflow should lead the shortlist?
Kenjo: Evaluate shift planning with actual staffing patterns and attendance exceptions.
HR Partner: Evaluate time recording, but require a demonstration of the scheduling brief rather than inferring rota support.
Use a late absence, a shift swap and manager approval. Record any separate scheduling system required.
Twenty-five office staff need leave and starter checklists
What is the appropriate initial scope?
Kenjo: Request the required employee-record and onboarding package; advanced onboarding is listed in Growth.
HR Partner: Core is the starting point for records, leave and onboarding checklists.
Test one starter and one leave adjustment with sample information. Keep recruitment and time recording out of the quote unless required.
Eighty staff retain an existing payroll provider
How does approved information reach payroll?
Kenjo: Specify payroll groups, preparation attributes and the export the provider accepts.
HR Partner: Check the actual provider integration and direction of employee/leave data transfer.
Reconcile one amended attendance entry and one retrospective leave change. Obtain country-specific acceptance from the payroll owner.
A growing company has eight HR administrators and recruitment needs
Which package boundaries need a quote?
Kenjo: Specify administrator permissions and recruitment add-ons separately.
HR Partner: Premium includes recruitment and up to ten administrators, fitting this stated admin count.
Compare the complete recurring charge and implementation scope at the expected employee count; administrative seats and employees are different units.
Treat scheduling and HR records as separate requirements
Start with the task that causes the most operational difficulty. A manager covering today’s absence needs a different acceptance exercise from an HR colleague collecting a starter’s documents. Both workflows may belong in one purchase, but each needs its own owner and success criteria.
For shift operations, use representative working patterns, breaks and a last-minute change. For employee administration, use a starter, a manager transfer and an exit. Ask the supplier to show the proposed package handling these cases, including how permissions change as responsibilities move.
Define the payroll handover with the payroll owner
Draw the boundary between attendance approval, gross-pay preparation, net-pay calculation, payment and statutory reporting. Write down who performs each step for every employer country. An export or integration can be valuable without replacing the service that performs the remaining steps.
Give the payroll owner a sample file or integration mapping to review. Include corrections after a payroll cut-off, an employee with changed bank details and an audit of approved changes. Confirm local requirements with the vendor and the payroll adviser before treating the proposed configuration as production-ready.
Questions before you choose
Is Kenjo an ongoing free HR system?
Kenjo advertises a 14-day trial and paid employee-based packages. Obtain a quote for the retained package, recruiting modules and onboarding scope.
Does HR Partner Core include recruitment and clock-in?
The published packages put applicant tracking and timesheets/clock-in in Premium. Confirm the retained tier when evaluating these workflows.
Do payroll features prove UK payroll and filing coverage?
No. Kenjo documents preparation, gross calculations and exports; HR Partner describes integrations. Require explicit confirmation of country coverage and responsibility for the remaining payroll steps.
Can a team add HR administrators without checking price?
HR Partner has package-specific administrator allowances and says additional administrators can be purchased. Kenjo lists custom profiles/permissions in Growth; obtain a quote for the intended access model.
Keep the assumptions with the figures
Use the date, billing cycle, units and limits with each example. Check current account terms before purchasing. Unverified prices and model costs stay unpriced.
