Collaboration software comparison

Cisco Webex vs Zoom

Compare Webex and Zoom for scheduled meetings, external guests, host roles, recording ownership and the scope of free versus paid meeting packages.

START WITH YOUR BUYING BRIEF

Which collaboration approach fits?

Shortlist Webex or Zoom against the same meeting brief: participant count, duration, host and substitute-host roles, guest access and recording requirements. Both have free access with limits and broader paid products. Test the actual guest journey and recording handover rather than choosing from a general video-call demonstration. Calling, webinars and every advertised AI feature should not be assumed part of an ordinary meeting licence.

External review

Can an invited customer join on the intended device?

Cisco Webex: Follow the invitation using the required browser or app route.

Zoom: Follow the equivalent invitation and meeting settings.

Use a test identity you control; evaluate guest friction without sending invitations to real customers.

Host absent

Can an authorised substitute start the scheduled session?

Cisco Webex: Check the exact role, account and plan needed for the substitute.

Zoom: Check the corresponding alternative-host and licence requirements.

Being allowed to attend or receive a forwarded invitation does not establish permission to run the meeting.

Recorded workshop

Can the intended audience view the recording later?

Cisco Webex: Verify the selected recording mode, storage owner and sharing controls.

Zoom: Verify the same requirements with the selected recording mode.

An organiser downloading a file is different from a maintained recording library with controlled audience access.

Long session

Does the retained package cover the actual duration and participants?

Cisco Webex: Map the workshop to the free ceiling or selected paid meetings offer.

Zoom: Map the same workshop to the actual Basic or paid limit.

Keep a temporary trial separate from the plan that will remain on the workshop date.

Write a complete meeting brief

Include who schedules, who hosts, who replaces the host and whether people join from outside the organisation. List the devices and browsers that matter to participants. A meeting working on the organiser’s desktop does not establish the guest experience on an unmanaged phone.

Use an isolated evaluation with accounts you control. Check the invitation, admission and screen-sharing process using the intended policy. Record the selected settings so the result can be reproduced by the person who will administer real meetings.

Give recordings an owner

Decide whether the recording is a temporary meeting aid or a durable training resource. Name the storage owner, authorised audience and removal process. Include transcripts or AI outputs in that ownership decision when those features are enabled and included.

Webex and Zoom both sell products beyond ordinary meetings. Price the host arrangement, duration and recording needs first, then add calling, webinars, storage or AI only where the brief requires them. No comparative audio quality, reliability or accessibility result is established by this article.

Questions before you choose

Does a free meetings plan cover any meeting length?

No. Free offers have duration and participant ceilings. Check the retained account before scheduling a longer session.

Can any invited participant start a meeting as host?

Do not assume that. Substitute-host roles can require particular settings, accounts and licences.

Are webinar and telephone products automatically included?

No blanket inclusion should be assumed. Scope the selected meetings package and any additional services separately.
