Zoom vs Google Meet:
external meetings, free call limits and host licensing.
Compare Zoom and Google Meet for external meetings, free call limits and host licensing, with practical buying briefs and plan boundaries.
Start with the work.
Then choose the package.
Zoom is a useful shortlist for teams whose primary requirement is a dedicated meeting workflow across organisations. Google Meet is a useful shortlist for teams already arranging work through Google Workspace. Start with meeting length, host responsibilities and recording requirements; a free call allowance does not establish the cost of the business workflow.
Seven differences that change the shortlist
| Buying question | Zoom | Google Meet |
|---|---|---|
| Product context | Meetings within Zoom Workplace | Meetings within Google’s account and Workspace ecosystem |
| Free meeting duration | Basic lists 40 minutes per meeting | Free group meetings list up to 60 minutes |
| Free participant scope | Basic lists up to 100 participants | Free Google Account meetings list up to 100 participants |
| Scheduling context | Connections to Google and Microsoft calendars | Google Calendar and Workspace connections |
| Recording scope | Check host plan, recording access and storage | Recording requires eligible paid access |
| Adjacent tools | Team Chat, whiteboards and other Workplace tools | Workspace communication and document applications |
| Budget boundary | Workplace subscription and separate Zoom products | Existing Workspace edition or other eligible paid Google package |
Four worked buying briefs
These are hypothetical scenarios with explicit assumptions. They do not establish equal capabilities, measured usability or a negotiated price.
| Buying brief | Zoom | Google Meet |
|---|---|---|
| A consultant runs long client workshops | Check the intended host’s duration and participant allowance. | Check the intended host’s edition and participant allowance. |
| A company already pays for Google Workspace | List the meeting needs not covered by the existing suite. | Check the current edition against those same needs. |
| A team records training for absent colleagues | Review recording access, storage and sharing in the host package. | Review recording entitlement and destination in the selected edition. |
| An organisation is planning a public event | Compare the intended meeting with relevant event or webinar requirements. | Compare the intended Workspace meeting with broadcast requirements. |
A consultant runs long client workshops
Can the planned session complete on the host’s licence?
Zoom: Check the intended host’s duration and participant allowance.
Google Meet: Check the intended host’s edition and participant allowance.
Test joining instructions with an authorised external participant before promising a frictionless client experience.
A company already pays for Google Workspace
Is another meeting subscription necessary?
Zoom: List the meeting needs not covered by the existing suite.
Google Meet: Check the current edition against those same needs.
A duplicate subscription is justified by a requirement or observed pilot result, not by familiarity alone.
A team records training for absent colleagues
Who controls the recording after the call?
Zoom: Review recording access, storage and sharing in the host package.
Google Meet: Review recording entitlement and destination in the selected edition.
Use a synthetic training call. Set an access owner and an expiry decision before any real participant is recorded.
An organisation is planning a public event
Is an ordinary meeting the correct product?
Zoom: Compare the intended meeting with relevant event or webinar requirements.
Google Meet: Compare the intended Workspace meeting with broadcast requirements.
Write registration, moderation, accessibility and follow-up needs first. Do not infer an event package from a meeting capacity number.
Evaluate the full host and attendee journey
A meeting evaluation should begin with an invitation rather than a vendor demonstration already in progress. Ask a host to schedule a session, change the time and share joining instructions with an authorised external attendee. Include a participant who joins from a phone and one who needs to present a document. Record required downloads, account choices and permissions in the actual environment instead of assuming the same experience on every device.
Prepare a fallback for the moment a presenter cannot join or share. Decide who can take over, how late participants find the material and where the agreed actions are stored. Test captions and any other accessibility requirements with the intended audience. These are proposed buying checks; no connection reliability, audio-quality or accessibility result is claimed for either service here.
Price hosts, recordings and additional products separately
Count people who schedule and own meetings, then describe their session lengths and audiences. A free plan may be enough for a short evaluation while remaining unsuitable for a longer recurring workshop. Check the selected paid host package rather than extending free-plan assumptions to a production rollout. Review recording ownership and storage alongside the meeting allowance so retained training is part of the budget.
Keep public events, telephone services and AI extras as explicit requirements. If a separate product is needed, include its administration and usage terms rather than presenting it as part of the base meeting subscription. For a Google Workspace customer, establish what the current edition already supplies; for a Zoom customer, establish what Workplace includes before buying another product.
Questions before you choose
Which free service allows a longer group meeting?
The checked pages list 40 minutes for Zoom Basic and up to 60 minutes for free Google Account group meetings. Participant type and paid entitlement can change the applicable limits.
Is Meet free if we use Google Workspace?
The organisation pays for Workspace, and its edition determines Meet capabilities. Separate personal Google Account access has its own free limits.
Does free access include business recording?
Do not assume it does. Check recording entitlement, destination, storage and permissions for the intended host’s paid package.
Which meeting tool has better call quality?
No call-quality benchmark was conducted. Evaluate the same devices, networks and attendee locations in an authorised pilot before drawing that conclusion.
Turn the comparison into your own evaluation
Use the same criteria and priorities for both products, keep unknowns unassessed and record the plan and evidence behind your ratings.
