Zoho Projects vs Taskade:
delivery schedules, AI tools and free-plan limits.
Compare Zoho Projects and Taskade for structured delivery schedules, collaborative AI tools, free users and the recurring costs of automating project work.
Choose the operating model.
Then check the retained limits.
Zoho Projects is the more direct shortlist for task dependencies, time recording and project delivery controls. Taskade’s current offer emphasises creating apps, agents and automations around workspace data. A tracker generated with AI is not automatically equivalent to a scheduling or timesheet system. Define the records, approvals and reporting needed, then assess the retained plan and ongoing AI or workflow capacity.
Seven differences that change the shortlist
| Buying question | Zoho Projects | Taskade |
|---|---|---|
| Core workflow | Tasks, dependencies, issues and delivery reporting | Projects and workspace data connected to generated apps, agents and workflows |
| Free users | Current header advertises up to five users | Free includes two users |
| Free scope caveat | Header lists three projects; downgrade FAQ still refers to two | Free permits three apps but has no monthly AI-credit allowance |
| Schedule controls | Gantt/dependencies; critical path, baseline and cross-project scope depend on package | Evaluate generated views against specific scheduling requirements rather than assuming native parity |
| Time and budget | Paid tiers add time logs, timesheets and project budget scope | Generated time/budget trackers need an acceptance test for required calculations and approvals |
| Automation unit | Workflow execution allowances vary by edition | AI credits and automation-run limits are distinct; extra credit packs do not add runs |
| Business administration | Roles, client/read-only/lite access and portfolio controls vary by edition | Custom domains, branding, SAML and provisioning have package boundaries |
Four worked buying briefs
These are hypothetical scenarios with explicit assumptions. They do not establish equal capabilities, measured usability or a negotiated price.
| Buying brief | Zoho Projects | Taskade |
|---|---|---|
| A five-person team needs three delivery projects | Verify the header’s five-user/three-project allowance and resolve the conflicting downgrade FAQ. | Free’s two users would not cover five named collaborators; select and price an appropriate paid package. |
| A consultancy approves hours before invoicing | Demonstrate time logs and the required timesheet approvals in a paid edition. | Specify the tracker, approval record and invoice handover as app requirements and validate them. |
| An operations team wants an AI-generated client tracker | Assess whether standard project layouts and workflows meet the brief before commissioning custom integration. | Build a proposed app around project data and estimate recurring AI and workflow demand. |
| Automated status reporting runs throughout the month | Count required workflow executions and choose the retained edition and integrations. | Budget AI credits and automation runs independently, including retries and top-up rules. |
A five-person team needs three delivery projects
Does the free allowance fit the actual account?
Zoho Projects: Verify the header’s five-user/three-project allowance and resolve the conflicting downgrade FAQ.
Taskade: Free’s two users would not cover five named collaborators; select and price an appropriate paid package.
Assume five people all need to edit. Test the chosen plan after any trial ends; guest or viewer access should not be counted as equivalent without checking its permissions.
A consultancy approves hours before invoicing
Can the project system preserve approval evidence?
Zoho Projects: Demonstrate time logs and the required timesheet approvals in a paid edition.
Taskade: Specify the tracker, approval record and invoice handover as app requirements and validate them.
Assume one amended time entry after approval. The acceptance task must show who can change it, who is notified and which exported total finance should trust.
An operations team wants an AI-generated client tracker
How does the generated tool remain connected?
Zoho Projects: Assess whether standard project layouts and workflows meet the brief before commissioning custom integration.
Taskade: Build a proposed app around project data and estimate recurring AI and workflow demand.
Assume the tracker collects a status update and assigns an owner. Check validation, access and failed updates; a successful generated screen does not prove the operating workflow is complete.
Automated status reporting runs throughout the month
What stops or adds cost at a usage boundary?
Zoho Projects: Count required workflow executions and choose the retained edition and integrations.
Taskade: Budget AI credits and automation runs independently, including retries and top-up rules.
Assume a weekday run plus a weekly summary. Use a representative sample to estimate usage; do not translate another vendor’s execution into a Taskade credit.
Distinguish a delivery schedule from a generated tracker
Write the information model before selecting the interface. A delivery team may need predecessor links, working calendars, baseline dates and approved time; an operations team may instead need a shared intake form, an owner and a generated dashboard. Both can look like project tracking, but their acceptance criteria differ. Zoho Projects publishes scheduling and timesheet functions, while Taskade’s current product centres app generation and AI agents around workspace data.
For a schedule, propose a delayed task that moves dependent work across a holiday and check the result. For a generated tracker, propose an invalid status, an unauthorised editor and a changed field used by an automation. Ask the intended administrator to recover from each case. Keep any additional integration or development work in the proposal. Neither a configurable view nor a generated app should be assumed to replace a specified calculation, approval or audit record without demonstration.
Evaluate retained access and recurring automation capacity
A useful free-plan check happens against the account that will remain after evaluation. Zoho Projects’ current table and downgrade FAQ disagree on the project allowance, so obtain confirmation before importing a portfolio. Taskade’s Free tier includes access and a small app/user scope but no recurring monthly AI credits. Identify which work can continue without AI generation, which needs a paid allowance and who can authorise top-ups.
Prepare a month of proposed usage with trigger frequency, retries, AI steps and external services. Taskade distinguishes credits from automation runs, so a credit pack is not a remedy for every usage ceiling. Zoho Projects has edition-specific execution and integration boundaries. Compare one realistic workflow and the response when it fails or reaches a limit; avoid a synthetic cost ranking that equates unlike units. Keep the assumptions with the selected plan so later growth can be budgeted deliberately.
Questions before you choose
How many projects are free in Zoho Projects?
The current header and plan table advertise three projects for up to five users, but the downgrade FAQ still says two projects. Confirm the intended account allowance before migration.
Does Taskade Free include monthly AI credits?
No. Its current pricing page says Free has no monthly credit allocation. Credits may be earned or bought, while paid packages include recurring allowances.
Can Taskade credit top-ups buy more automation runs?
Not according to its current pricing explanation. Extra credits add to the credit balance but automation runs have a separate plan limit.
Are both products interchangeable for timesheet approvals?
Do not assume that. Specify approval, editing and export requirements. Verify the relevant Zoho edition or the actual Taskade app/workflow against those requirements.
Turn the comparison into your own evaluation
Use the same criteria and priorities for both products, keep unknowns unassessed and record the plan and evidence behind your ratings.
