Compare Nimble and EngageBay for shared relationship history, a combined marketing stack, contact capacity and the cost boundaries behind email outreach.

START WITH YOUR BUYING BRIEF

Start with the customer work.
Separate seats from audience.

Nimble suits a shortlist centred on relationship history, connected inboxes and structured follow-up. EngageBay suits an evaluation of CRM, marketing and service tools together, including an initial free All-in-One tier. Choose around the daily workflow and retained contact/send allowances. A Nimble seat, an EngageBay contact and an email message are different cost units; none should be treated as unlimited simply because another is included.

An advisory team works mainly in Outlook

Can a colleague reconstruct the relationship?

Nimble: Connect the intended Microsoft 365 setup and review shared communication history and access.

EngageBay: Demonstrate the required inbox-to-contact workflow in the intended bay and tier.

Assume three advisers and a shared client list. Use a reassigned contact to check ownership and what the receiving adviser can actually see.

A startup has 200 opted-in prospects

What remains usable without payment?

Nimble: Budget continuing CRM licences after the trial and assess whether marketing upgrades are required.

EngageBay: Check the 250-contact Free cap plus sending and user allowances against the planned campaign.

Assume the list grows by 30 contacts a month. Include existing companies or other counted records only as the vendor defines them; do not compare a contact cap with message capacity.

A business wants newsletters and lead follow-up

Which email tools and limits are retained?

Nimble: Quote Email Marketing separately from personal/group outreach and enrichment.

EngageBay: Choose the All-in-One or Marketing scope and verify the automation tier, sends and contact band.

Use a proposed signup, welcome message, salesperson assignment and unsubscribe. A permission change should have a defined effect on every place that can send to the person.

A service team must pick up a sales promise

Can the next operator find and act on the context?

Nimble: Assess whether relationship workflows suffice or a separate support service is needed.

EngageBay: Demonstrate a CRM record handed to help desk/live chat with the selected permissions.

Assume one enquiry becomes a customer and later a support issue. Record which identifier connects the history, who can correct it and whether a separate customer-service subscription is still required.

Keep contact, seat and send budgets separate

Build a capacity sheet with named users, stored people and companies, monthly recipients, total messages and any enrichment lookups. Use the vendor’s definition for each counted item. Nimble describes an account-level contact allowance while charging CRM licences per seat; EngageBay’s All-in-One offer combines per-user packaging with contact caps. Multiplying a contact allowance by the number of employees would give a misleading forecast unless the actual contract explicitly allows it.

Add a normal month and a seasonal peak. For example, a business could keep its sales team unchanged while importing a larger event audience or sending several follow-ups to the same subscribers. Check both retained-plan limits and the path to additional capacity. Keep campaign upgrades, enrichment, storage and external tools on separate budget lines, and ask how a downgrade affects access to history. A trial can demonstrate functionality without establishing the ongoing operating price.

Questions before you choose

Does Nimble offer a permanent free CRM?

The current offer advertises a 14-day trial. Continuing access uses a paid subscription, unlike EngageBay’s advertised All-in-One Free tier.

Does each Nimble seat include another 25,000 contacts?

No. Its pricing page describes up to 25,000 contacts at account level. Extra contact capacity and per-seat storage have separate upgrade terms.

Is EngageBay’s free plan unlimited?

No. The All-in-One Free package lists 250 contacts. Verify email volume, user access and the functions needed before moving a larger database.

Should the cheapest CRM seat determine an email-marketing purchase?

No. Compare the complete retained workflow: audience size, message volume, automations, staff, enrichment and support handovers. Package names alone do not make those units equivalent.
