PROJECT MANAGEMENT / SMALL-TEAM PLAN FIT

monday.com vs Trello:
count the people behind the plan.

Free caps, guest rules and paid seat bundles can change the shortlist before you compare a headline price.

THE BUYING DECISION

Start with the board,
then count who needs access.

Trello is a useful starting point for a small board-based team with occasional client access. monday.com belongs on the shortlist when you want to configure work across boards and need its paid views or workflows. The checked free tiers differ sharply: monday.com allows two members and no guests, while Trello counts up to ten collaborators across a Workspace. Neither free tier should be assumed to match a paid trial.

Which free plan fits a small team?

A person invited to a Trello board still counts towards the free Workspace limit even when they are called a guest. monday.com Free does not allow that guest role. Check both people and the work you intend to store.

A practical seven-person example

Four colleagues and three distinct clients make seven Trello collaborators. With six open boards and attachments no larger than 10 MB, the group is within those checked Trello Free caps. monday.com Free fails this access requirement: four members exceed its two-member allowance, guests are excluded and six boards exceed its three-board cap.

This is a capacity check, not proof that either tool delivers your approval process. A client who needs restricted visibility, a required reporting view or a particular automation can change the required tier. Use the wider free-plan checker to consider member and file requirements alongside other products.

Paid guests are counted differently

One client, two boards, a different Trello bill

A Trello guest on one board is not billable on Standard or Premium. Giving the same client access to a second board in that Workspace changes them into a paid multi-board guest. Count their identity once, but check every board they need. Workspace membership also makes a person billable; calling a colleague a guest is not a way to hide membership.

Guest groups can trigger a monday.com seat-bundle change

Standard counts each complete group of four eligible guests as one seat. The first three do not add a seat; four through seven add one; eight add two. Add those seats to the member requirement, then choose the supported paid bundle. The vendor also requires a guest to have a different email domain from the account creator. Confirm eligibility before treating someone as an external guest.

Four worked team-and-client scenarios

These examples compare the number of seats behind a quote. monday.com Standard and Trello Standard or Premium have different capabilities and rates, so a lower seat count is not a cost verdict.

Four colleagues and four clients, two on multiple boards5568

Two colleagues, no external guests

Moving beyond free-plan capabilities does not remove monday.com's three-seat paid minimum.

Four colleagues and three single-board clients

The guests do not add paid seats in either checked arrangement, but monday.com still needs a five-seat bundle.

Four colleagues and four clients, two on multiple boards

One monday.com guest group makes five required seats. Trello charges for the two multi-board guests.

Four colleagues and eight multi-board clients

monday.com Standard needs six seats before rounding to its ten-seat bundle. Trello counts twelve paid seats; its Free collaborator cap is also exceeded.

Turn the seat count into a comparable quote

Use the same currency and billing cycle, then multiply the actual paid seat count by the confirmed rate. For annual commitments, compare the upfront total as well as the monthly equivalent. Add integrations, third-party tools, AI usage and implementation costs only when they are part of your required workflow.

Trello's checked Standard prices are $5 USD per user per month as an annual-billing equivalent, or $6 billed monthly. Premium is $10 as an annual equivalent, or $12.50 billed monthly. These are USD figures, not converted UK pound quotes. Request the relevant current monday.com product, currency, seat bundle and credit allowance before comparing totals.

A run is different from an action

monday.com Standard lists 250 automation actions and a separate 250 integration actions per month. Trello Standard lists 1,000 automation runs and 20,000 operations. Those are different counters. One Trello run can perform several actions, consuming more than one operation; quotas are shared by the Workspace.

For a simple illustrative rule triggered 100 times and performing two actions counted as one operation each, Trello uses 100 runs and 200 operations. A sorting step or a wider batch can consume more. Use the real execution log to validate the count before extending the example to your workflow.

Even Trello Premium's unlimited runs sit alongside operation and email limits. Avoid treating an unlimited headline as unlimited capacity in every dimension.

Run the same client-delivery trial

  1. Create one project with an owner, due date, approval state and a file.
  2. Give a sample external client only the access they should have. Review the experience on a phone and check whether other work is visible.
  3. Move the client onto the second board they will need. Inspect how their billing role changes.
  4. Run one repeatable rule with a normal item, a missing field and a duplicate event. Review the usage log and failure handling.
  5. Export the project and open the file outside the tool. Confirm which plan contains the required export and reporting.

Choose around the outcome you need to keep reliable. A configurable board is useful when someone owns its design and maintenance; a simple board is useful when it covers the team's actual work. Use the five-day trial checklist to record those results.

Questions before you choose

Is Trello Free enough for four colleagues and three clients?

That is seven unique collaborators, below the checked ten-person Workspace cap. The team must also stay within ten open boards, the ten-megabyte attachment cap and the automation quotas. Guests and pending invitations still count.

Does monday.com Free allow client guests?

No. The checked Free work-management plan allows two members and excludes guests and viewers. Basic also lacks shareable-board guest access; Standard is the first checked guest tier.

Why can four monday.com users require five paid seats?

Its paid plans use seat bundles. Official support gives the four-person to five-seat example; required seats also include any billable Standard guest groups.

Does unlimited Trello automation mean there are no limits?

Premium and Enterprise advertise unlimited automation runs, but operations, emails and other execution limits still apply. A run and an operation are different units.

Before you use these examples

The worked examples are calculations, not product trial results. Confirm the plan, billing cycle and conditions against your own requirements.

  • monday.com means its work-management/AI Work Platform product, not the separate monday CRM or dev subscription.
  • monday.com external guests meet its eligibility rules, including a different email domain from the account creator.
  • Trello guests have not also been made Workspace members, and each person is counted once.
  • Paid seat examples compare monday.com Standard with Trello Standard or Premium; these plans have different features and prices.
  • The examples cover checked small-team seat bundles through 20 required monday.com seats. No monetary winner, tax or exchange-rate conversion is assumed.
  • These are calculations from published rules, not observations from a product trial.
