Google Data Studio (Looker Studio) vs Microsoft Power BI
Compare browser reporting, semantic modelling and private audience access, including the current Data Studio name.
Which reporting setup fits your audience?
Shortlist Google Data Studio, formerly Looker Studio, for browser-based reporting and sharing across Google-connected or ad hoc sources. Shortlist Power BI when the team needs its Desktop preparation and semantic-model workflow within Microsoft Fabric. The decisive checks are calculation correctness, content ownership and audience access. Data Studio is separate from Google’s Looker enterprise platform.
Seven differences that change the shortlist
| Buying question | Google Data Studio (Looker Studio) | Microsoft Power BI |
|---|---|---|
| Current product identity | Data Studio; Looker Studio name changed in April 2026 | Power BI in the Microsoft Fabric environment |
| Authoring workflow | Browser-based interactive report editor | Desktop preparation/modelling plus service capabilities |
| No-cost access | No-cost edition includes reporting and sharing | Free Desktop and personal service use |
| Business ownership | Pro content can be organisation-owned through a Cloud project | Workspaces and semantic models need the intended admin/licence setup |
| Private audience | Permissions and Pro workspace roles need review | Publisher, viewer and capacity licences determine access |
| Data cost | Partner connectors and billed sources can add charges | Source services, gateways and capacity can add cost or operational work |
| Evaluation focus | Connector correctness, ownership and report maintenance | Model correctness, refresh and audience distribution |
Four worked buying briefs
These are hypothetical scenarios with explicit assumptions. They do not establish equal capabilities, measured usability or a negotiated price.
| Requirement | Evidence to collect | Acceptance condition |
|---|---|---|
| Data correctness | Reconciled sample across source systems | Definitions and date boundaries are agreed |
| Ownership | Admin and offboarding rehearsal | Reports survive the original author leaving |
| Access | Representative private viewer accounts | Audience permissions and licences are understood |
| Full cost | Connectors, sources, licences and maintenance | Estimate matches the intended viewing and refresh pattern |
Marketing report
Can the team reconcile advertising and website numbers?
Google Data Studio (Looker Studio): Build the report with its intended connectors and inspect blending and calculated fields.
Microsoft Power BI: Build the equivalent preparation and model using the intended Power BI connections.
Proposed check: explain date boundaries, attribution differences and missing records before accepting a total.
Organisation-owned reporting
What happens when the original report author leaves?
Google Data Studio (Looker Studio): Compare individually owned no-cost content with Pro organisation-owned content.
Microsoft Power BI: Check workspace administrators, ownership transfer and the semantic model’s credentials.
Use an offboarding rehearsal with test identities; do not rely on the original author remaining employed.
Private viewer rollout
Can the final audience open the report without unexpected purchase prompts?
Google Data Studio (Looker Studio): Test sharing permissions with representative recipients and the intended Pro configuration.
Microsoft Power BI: Test the intended per-user or qualifying-capacity access for representative recipients.
A successful author preview does not prove audience access; include a recipient outside the reporting team.
Growing source costs
Does report use cause additional data or connector charges?
Google Data Studio (Looker Studio): Document partner-connector terms and charges from the underlying queried source.
Microsoft Power BI: Document source-query charges, capacity requirements and any gateway operations.
Estimate the same refresh and viewing pattern on each side before calling either report free.
Agree the reporting definitions first
A dashboard does not resolve inconsistent business definitions by itself. Record how each source defines a conversion, customer, order and reporting date. Ask for the same reconciliation table in both tools before choosing a visual design or connector package.
For blended data, test missing rows, duplicate keys and sources that refresh at different times. Document who owns the connector credentials and what happens when access is revoked. These checks help a small reporting team distinguish a convenient prototype from a report it can reliably maintain.
Check ownership separately from viewing
Google changed the Looker Studio name back to Data Studio in April 2026. Its no-cost reporting edition and paid Pro ownership model differ, and neither should be confused with the separate Looker enterprise platform. Scope the product and content ownership before accepting a proposal.
For either platform, list authors, administrators and viewers, then test each role with the intended private sharing route. Add connector subscriptions, source-query charges and operational work to the estimate. Retain a written record of how reports and credentials will transfer when staff or suppliers change.
Questions before you choose
Is Looker Studio now called Data Studio?
Yes. Google’s official documentation says the product name returned to Data Studio in April 2026. The former Looker Studio address redirects to the new product domain.
Is Data Studio the same as Looker?
No. Data Studio is the reporting product formerly called Looker Studio. Looker remains a separate enterprise business intelligence platform.
Is Data Studio completely free?
Its no-cost edition includes report creation and sharing. Pro, partner connectors and the underlying data source can introduce separate costs.
Does Power BI Free cover private team sharing?
Not generally. Free local authoring and personal service use differ from collaboration. Map the publisher and audience to the required paid licences or qualifying capacity.
