SOFTWARE BUYING DECISIONS

Google Forms vs Microsoft Forms:
survey collection, account limits and spreadsheet handover.

Compare Google Forms and Microsoft Forms for survey collection, account limits and spreadsheet handover. Work through account access, everyday tasks and the full purchase before choosing.

START WITH YOUR BUYING BRIEF

Start with your workflow.
Then check the exact plan.

Google Forms is a natural shortlist when responses will be worked on in Google Sheets. Microsoft Forms fits a Microsoft and Excel workflow. Both handle forms and quizzes; choose using the respondent audience, account ownership and output that the team needs. Personal free-account limits should not be confused with managed organisation access.

A club collects event registrations

Can invited people respond from their phones?

Google Forms: Review the published form with the intended Google settings.

Microsoft Forms: Review the form with the intended Microsoft settings.

Use an external respondent without the organiser’s account; do not assume public access.

A school runs a short quiz

How will the teacher receive and review answers?

Google Forms: Design a representative quiz and Sheets handover.

Microsoft Forms: Design the same quiz and Excel handover.

Include a skipped answer and a corrected submission in the planned review.

A company gathers internal feedback

Who owns the form when the author leaves?

Google Forms: Document Workspace ownership and sharing.

Microsoft Forms: Document Microsoft organisation ownership and access.

Keep the response dataset accessible to the nominated business owner.

A campaign may attract many replies

What capacity and reporting boundary applies?

Google Forms: Check the account and data destination before launch.

Microsoft Forms: Check the precise personal or organisation response limit.

Use expected volume plus a contingency and record what happens at the limit.

Define the response dataset first

Write down the fields the receiving team needs, including consent wording, dates and identifiers. Then design the form. A visually attractive form is of little use if the output requires hours of manual repairs before it can be analysed.

Use the same proposed questions in each shortlist and inspect the spreadsheet handover. Check whether multiple-choice selections, blank answers and timestamps remain unambiguous. The acceptance standard is a usable dataset, not the presence of an export button.

Match audience access to account ownership

Separate the organiser’s sign-in from the respondent’s experience. An internal staff questionnaire and a public registration page may need different settings, and the company should know who can change those settings after launch.

Capacity also follows the account context. Microsoft publishes different limits for personal and eligible organisation accounts. Confirm the exact entitlement instead of applying a large business allowance to a free personal form. Keep the response owner and archive procedure in the buying record.

Questions before you choose

Which is better for Google Sheets?

Google Forms has a direct Sheets response workflow. Evaluate the actual columns and ownership needed by the receiving team.

Which is better for Excel?

Microsoft Forms provides Excel export and fits a Microsoft-centred workflow. Check the form’s ownership and the exact Microsoft account or licence.

Are both free?

Both offer personal free access. Organisation accounts, administrative controls and capacity depend on the relevant Workspace or Microsoft arrangement.

Does a free Microsoft account receive the largest published allowance?

No. Microsoft’s response-limit guidance distinguishes free personal accounts from eligible organisational environments. Check the account-specific allowance before distributing the form.

Turn the comparison into your own evaluation

Use the same criteria and priorities for both products, keep unknowns unassessed and record the plan and evidence behind your ratings.
