CMS buying comparison

Contentful vs Strapi

Compare Contentful and Strapi by publishing scope, licensing, migration work and the operating responsibilities of a live site.

START WITH YOUR BUYING BRIEF

Which CMS model fits the publishing team?

Contentful provides a managed content platform; Strapi offers a CMS that can be self-hosted or run on paid Strapi Cloud. Compare control and operational responsibility alongside editorial needs. Contentful Free is currently restricted to learning and testing, while Strapi Community is free MIT-licensed software. Neither option supplies a finished frontend simply because a CMS project exists.

Commercial launch

Can the proposed free option be used for the business?

Contentful: Choose a commercially suitable paid subscription.

Strapi: Review Community capabilities and budget infrastructure.

Contentful Free must not be treated as a free commercial production plan.

Custom backend logic

Where will application-specific behaviour run?

Contentful: Design external services and the supported extension boundary.

Strapi: Demonstrate customisation and its upgrade responsibility.

Document behaviour in a small integration contract before implementation.

Managed operations

Who restores content and handles capacity changes?

Contentful: Confirm the platform service and export/recovery requirements.

Strapi: Choose Cloud or a self-hosted operations arrangement explicitly.

A free CMS licence does not specify backup or recovery service levels.

Approval controls

Which governance functions must editors use?

Contentful: Map required roles and workflows to the selected plan and space.

Strapi: Map history, review workflows and SSO to CMS entitlements.

Do not assume a hosting payment includes every premium editorial feature.

Decide who operates the content service

Draw a boundary around the content store, editor, APIs, assets and frontend. Then assign an owner for upgrades, recovery, access and capacity. This reveals which work the managed platform provides and which work remains with the application team in either design.

For Strapi, assess CMS and hosting purchases separately. A Community deployment on Cloud does not become a premium CMS licence merely because hosting is paid. A self-hosted deployment can also buy paid CMS capabilities without buying Strapi Cloud.

Validate commercial access before building the pilot

Contentful currently describes Free as a learning and testing plan, with commercial use excluded in its usage terms. A successful prototype on Free is therefore not proof that the same account can support the business launch. Establish the eligible production subscription before approving a migration budget.

For Strapi, the free Community software moves the cost question to deployment and operations rather than eliminating it. Include the database, backups, asset delivery and upgrade testing, then identify whether the project needs separately licensed history, identity or review functions.

Questions before you choose

Can Contentful Free run a commercial website?

Current Free usage terms restrict it to learning and testing and exclude commercial use. Select an eligible commercial plan for a business deployment.

Is Strapi Cloud still free?

The current Cloud offer is paid and the old Free plan has been removed. Community CMS remains free software for self-hosting.

Does Strapi Cloud include every paid CMS feature?

No. CMS licensing and hosting are separate decisions. Verify the CMS edition and Cloud resources independently.
