Microsoft Power BI vs Tableau
Compare report creation, modelling, distribution and viewer access before buying analytics licences.
Which reporting setup fits your audience?
Shortlist Power BI when the reporting team’s Microsoft data preparation and modelling workflow is a good fit. Shortlist Tableau when visual exploration and its Cloud or Server distribution model fit the analysts and audience. Both have local free authoring options with collaboration boundaries. Price a completed reporting service for your real authors and viewers, then evaluate the same report on each.
Seven differences that change the shortlist
| Buying question | Microsoft Power BI | Tableau |
|---|---|---|
| Authoring route | Power BI Desktop plus browser service capabilities | Tableau Desktop plus Cloud/Server browser capabilities |
| Data modelling | Power Query and semantic models with DAX | Data connections, preparation and visual analytics workflows |
| Free local access | Desktop authoring is free | Desktop Free Edition supports individual local analysis |
| Private distribution | Per-user licences and qualifying capacity determine access | Cloud/Server edition and Creator/Explorer/Viewer roles determine access |
| Free-edition boundary | Personal free service access does not mean unrestricted sharing | Free Desktop cannot publish or share packaged workbooks |
| Hosting responsibility | Fabric cloud service; separate Report Server on-premises route | Managed Tableau Cloud or self-managed Tableau Server |
| Proof of fit | Reconcile calculations, refresh and audience access | Reconcile calculations, refresh and audience access |
Four worked buying briefs
These are hypothetical scenarios with explicit assumptions. They do not establish equal capabilities, measured usability or a negotiated price.
| Requirement | Trial exercise | Pass condition |
|---|---|---|
| Numbers | Build the same report from identical input data | Measures reconcile to the approved total |
| Audience | Invite representative author and viewer accounts | Each role gets the intended private access |
| Refresh | Change the source and run the planned refresh | Failures and ownership are visible |
| Handover | Have a second analyst maintain the model | The report can be updated without its original author |
Finance reporting team
Can the monthly report reconcile and refresh without manual fixes?
Microsoft Power BI: Recreate the calculation logic, data preparation and refresh ownership in Power BI.
Tableau: Recreate the same calculations, preparation and refresh ownership in Tableau.
Proposed pass condition: signed-off totals match across periods and the next owner can explain the model.
Large viewing audience
What must each author and viewer be licensed to do?
Microsoft Power BI: Ask for the correct Pro/PPU and capacity arrangement for the intended audience.
Tableau: Request a Creator/Explorer/Viewer mix with the required Cloud or Server edition.
Price the same private audience and editing rights; a viewer and an author are not the same requirement.
Local evaluation
Can an analyst try the report before buying private sharing?
Microsoft Power BI: Use free Desktop authoring for the local report and separately plan service distribution.
Tableau: Use Desktop Free Edition for local analysis while respecting its sharing restrictions.
A local file review is an evaluation step, not a demonstration of a licensed production distribution workflow.
Controlled infrastructure
Who must operate the analytics environment?
Microsoft Power BI: Review the Fabric cloud service or separately scoped Power BI Report Server, including source connections and operating duties.
Tableau: Compare hosted Tableau Cloud with the operational duties of self-managed Server.
Ask who installs updates, monitors refresh failures and restores content before treating hosting as equivalent.
Use a report as the acceptance test
Choose a report the business already understands, including its filters, historical periods and awkward exceptions. Give both tools the same inputs and calculation definitions. Review the correctness and maintenance effort before discussing how attractive the default dashboard looks.
Include the analyst who will inherit the model. Ask that person to change a metric, explain an unexpected total and recover from a failed source refresh. A successful demonstration should leave a maintainable reporting process, not just an attractive screenshot.
Price the audience and operating model
Count authors, occasional editors, internal viewers and external viewers separately. Record which people need private access and whether they must edit or only consume content. Ask suppliers to map those roles to the precise licences and workspace or deployment configuration.
Then add the data preparation work, source connections, refresh ownership and hosting responsibilities. Both platforms offer free local routes, but local authoring does not establish a free private collaboration service. Keep public publishing separate from reports containing confidential business data.
Questions before you choose
Are Power BI and Tableau free?
Both offer local free authoring routes. Power BI Desktop is free, and Tableau Desktop Free Edition supports individual local analysis. Private sharing and business collaboration need a separately scoped access model.
Can I share Tableau Desktop Free workbooks with colleagues?
The current Free Edition cannot publish online, connect to Cloud/Server saved data sources or share packaged workbooks. Evaluate paid distribution or the appropriate separate public workflow.
Do all Power BI viewers need Pro?
It depends on the content location and capacity configuration. Qualifying Premium or Fabric capacity can let permitted free viewers consume shared content; do not assume any capacity or free account is sufficient.
Which makes better dashboards?
There is no universal winner in this comparison. Evaluate an agreed report for correct calculations, accessibility, useful interactions and the effort of maintaining it.
Turn the comparison into your own evaluation
Use the same criteria and priorities for both products, keep unknowns unassessed and record the plan and evidence behind your ratings.
