IBM Cognos Analytics vs Power BI
Compare Cognos and Power BI for report creation, scheduled delivery, self-service analysis, recipient access and deployment scope.
Which approach fits your analytics work?
Start with Cognos when the shortlist centres on managed business reporting and an explicitly chosen hosted or customer-managed arrangement. Start with Power BI when its reporting and sharing workflow fits the Microsoft analytics environment. Validate the exact author and recipient rights: Cognos cloud Standard receives reports, while Premium adds report creation, running and scheduling; Power BI free authoring is also different from shared distribution.
Seven differences that change the shortlist
| Buying question | IBM Cognos Analytics | Microsoft Power BI |
|---|---|---|
| Primary brief | Managed reporting alongside dashboards and exploration | Interactive reports, dashboards and shared analytics |
| Author rights | Current cloud Premium adds creating, running and scheduling reports | Specify the publishing licence and workspace arrangement |
| Recipients | Current cloud Standard includes receiving reports | Recipient licensing depends on the sharing and capacity arrangement |
| Deployment | IBM-hosted and customer-managed options | Define the Power BI service, data gateway and any separate reporting scope |
| Data preparation | Specify data modules and governed report sources | Specify the semantic model, refresh and data connection |
| Free boundary | Trial rather than permanent free production use | Free creation does not establish unrestricted shared access |
| Commercial model | Deployment plus the appropriate user entitlement | User licensing and any capacity or additional services |
Four worked buying briefs
These are hypothetical scenarios with explicit assumptions. They do not establish equal capabilities, measured usability or a negotiated price.
| Requirement | Proposed exercise | Accept when |
|---|---|---|
| Reporting format | Generate one representative multipage output | Required pages, filters and totals survive delivery |
| Recipient rights | Open the report as a named recipient | Access and licensing match the proposed audience |
| Reconciliation | Compare report and drill-down totals | Both use the same approved period and definition |
| Stale-data handling | Interrupt a sandbox source refresh | The owner can identify and communicate freshness |
A recurring report pack
Can an owner publish an approved report on schedule?
IBM Cognos Analytics: Use the quoted authoring and scheduling entitlement.
Microsoft Power BI: Use the required report format and delivery arrangement.
Specify pagination, filters and distribution rather than accepting a screenshot.
A report recipient
Can a colleague receive and open only their report?
IBM Cognos Analytics: Exercise the recipient’s actual cloud or deployment role.
Microsoft Power BI: Exercise the actual recipient licence and workspace path.
Test a non-author identity instead of reusing an administrator.
A follow-up question
Can a manager trace the report total into an allowed breakdown?
IBM Cognos Analytics: Use the proposed exploration and report-source configuration.
Microsoft Power BI: Use the proposed semantic model, filters and drill-through.
Keep the reporting period and row access consistent.
An unavailable source
What happens if the source refresh fails?
IBM Cognos Analytics: Inspect the selected deployment’s freshness and report-delivery controls.
Microsoft Power BI: Inspect the model-refresh status and downstream report behaviour.
The audience should know which data date it is reading.
Separate authoring from receipt
List who designs reports, who runs or schedules them and who only receives output. Cognos’s current cloud package boundary makes this especially important: a recipient-level quote is not an authoring quote.
For Power BI, specify publishing and consumption rights in the selected workspace and capacity arrangement. A free desktop report on an analyst’s laptop does not demonstrate the purchased sharing path.
Define the report as a deliverable
Give the evaluator an actual output specification: report period, page breaks, recipient filters, delivery time and the required retained copy. Interactive exploration and a fixed report pack serve different tasks.
Scope gateways, source refresh, operational monitoring and administration. Assess the complete recurring process, including failure handling, rather than counting available chart types.
Questions before you choose
Can Cognos Standard create scheduled cloud reports?
The current cloud pricing page lists report receipt in Standard and creation, running and scheduling in Premium. Confirm the proposed deployment and entitlement in the quote.
Does a free Power BI account cover every viewer?
No. Publishing and shared consumption require the appropriate licensing or capacity arrangement. Check actual viewer eligibility.
Is this a reporting performance benchmark?
No. The page supplies buying differences and proposed acceptance checks; it does not report measured rendering times or completed product trials.
