Describe each required people process
Write the input, approval owner and final output for leave, time records, performance reviews and hiring. That makes a module quote comparable even when vendors group functions differently. Avoid adding a module solely because it has a familiar name.
Use a part-time employee, a manager who is away and a correction to an already approved request in an authorised demonstration. Check what each role can see and how the change appears in reporting.
Separate payroll reporting from paying employees
Define the payroll handover file and the system that will calculate and submit payroll. Check identifier formats, overtime, leave effects and correction handling. An HR reporting export alone does not prove payroll service coverage.
For migration, bring a small synthetic employee set with start dates, working patterns and a leave balance. Reconcile the opening balance and assign an owner for resolving exceptions before moving real employee information.
Questions before you choose
Do these products have an ongoing free HR plan?
No permanent free HR package was identified in the checked offers. Sage HR has a 30-day trial; HRLocker uses a demo and scoped paid modules.
Does an HR subscription automatically include payroll?
No. Confirm the exact payroll product or service, jurisdiction, integration and handover. Time records and payroll reports are not the same as running payroll.
How should implementation be compared?
List migration, record cleanup, configuration, permissions, training and acceptance work. HRLocker explicitly scopes implementation separately; request the equivalent breakdown for Sage HR.
Keep the assumptions with the figures
