Amazon Quick Sight vs Power BI
Compare Amazon Quick Sight and Power BI for author and reader access, data refresh, embedded audiences and the complete recurring analytics bill.
Which approach fits your analytics work?
Consider Amazon Quick Sight when its AWS-managed author and reader model fits the data environment and audience. Consider Power BI when its report workflow and user or capacity arrangement fit the organisation. Build a matched audience model before comparing cost. Quick Sight sessions, SPICE and reporting options are different units from Power BI user licences and capacity; neither is a complete bill on its own.
Seven differences that change the shortlist
| Buying question | Amazon Quick Sight | Microsoft Power BI |
|---|---|---|
| Managed service | AWS-managed dashboard and reporting service | Microsoft’s reporting service with user and capacity arrangements |
| Creators | Scope Authors, Pro features and relevant conditions | Scope author licences and the publishing workspace |
| Readers | Per-user and capacity-based reader models | Confirm recipient rights under the selected licensing or capacity |
| Data capacity | Include SPICE where used and source query charges | Include model, refresh and capacity requirements |
| Formatted output | Additional pixel-perfect report capacity can apply | Specify the required report product and delivery arrangement |
| Embedded audience | Model sessions, identity and any capacity commitment | Distinguish external embedding from internal organisational sharing |
| AI and trials | Regional, promotional and optional infrastructure conditions vary | Free creation, trial capacity and Copilot eligibility differ |
Four worked buying briefs
These are hypothetical scenarios with explicit assumptions. They do not establish equal capabilities, measured usability or a negotiated price.
| Requirement | Proposed exercise | Accept when |
|---|---|---|
| Matched audience | Cost the same authors and recipients | Every role has an identified entitlement |
| Embedded identity | Open a report as two isolated customer identities | Data access and usage attribution match each customer |
| Refresh budget | Estimate a normal day and a defined peak | Data-service and analytics charges are both listed |
| Report delivery | Deliver the required formatted output in a sandbox | Format, recipients and added charges are clear |
A known internal audience
What does ordinary monthly viewing require?
Amazon Quick Sight: Count authors and named readers under the proposed model.
Microsoft Power BI: Count authors and actual recipient entitlements.
Use the same active audience and reporting cadence.
An occasional external audience
How will customer usage be authenticated and charged?
Amazon Quick Sight: Map external sessions and the chosen embedding arrangement.
Microsoft Power BI: Map the proposed embedding capacity and application identity.
Avoid using a public dashboard as a substitute for private customer access.
A refresh spike
What is the effect of a busier reporting day?
Amazon Quick Sight: Include the selected source queries, SPICE and refresh behaviour.
Microsoft Power BI: Include source queries, model refresh and selected capacity.
Use a stated workload rather than an unqualified cheapest-price claim.
A distributed report
What does a formatted report add to the workflow?
Amazon Quick Sight: Scope pixel-perfect report units and delivery.
Microsoft Power BI: Scope the required report format and service.
Include recipients, pages, frequency and retained output.
Compare units before comparing prices
Create an audience sheet with creators, regular viewers and occasional customers. Add expected viewing frequency, refresh cadence and formatted-report volume. This makes the two commercial proposals comparable without pretending their billing units are interchangeable.
AWS’s current pricing also includes regional and promotional conditions around the wider Quick offer. Record the expiry and retained entitlement of any promotion, rather than treating temporary access as a permanent feature of the base plan.
Include the data and distribution bill
The analytics subscription is one part of the cost. Source queries, gateways or connections, storage, implementation and support can remain outside it. Ask which meter changes when the audience or refresh frequency doubles.
Obtain a quote tied to the intended region and commercial arrangement. Any AI or special reporting requirement should name its additional entitlement and operational owner.
Questions before you choose
Is Amazon Quick Sight the former QuickSight?
AWS now presents the BI service as Amazon Quick Sight within Amazon Quick. Broader Quick capabilities and promotions have their own conditions.
Does Power BI free creation include unrestricted sharing?
No. Check the relevant publishing, recipient and capacity rules for the actual environment.
Which service is cheaper?
That depends on creators, readers, viewing patterns, refresh, capacity and optional services. This page provides a matched costing brief rather than a universal savings claim.
