What is the difference between a sheet, report and dashboard?
A sheet holds the working records. A report selects information from sheets. A dashboard presents information through widgets. Use a sheet to maintain task details, a row report for a focused work queue, and a dashboard to communicate the status and links an audience needs.
These layers can work together. You do not need to copy every task into a second tracker to give a manager a different view. Smartsheet’s platform overview describes project views, reporting and automation as parts of its work management system. This guide reviews the reporting workflow on 16 October 2026; the example is fictional.
| Layer | Useful job | Keep clear |
|---|---|---|
| Sheet | Maintain task records, dates, owners and status. | Choose which sheet owns each task. |
| Row report | Select matching task rows from the chosen sources. | The displayed records still belong to source sheets. |
| Dashboard | Present selected metrics, report widgets and useful resources. | Agree each widget’s source, audience and definition. |

Does a Smartsheet report copy the data?
Smartsheet’s report types guide explains that reports display information held in sheets rather than storing a separate set of records. Reporting is bidirectional: permitted edits to editable data flow back to the source, and source changes appear in the report.
A row report works with task rows. A sheet summary report brings together sheet summary fields, which is useful for project-level metrics. Choose the type based on the unit you want to report: individual tasks or each project’s summary.
For a task queue, agree the source sheets, displayed columns and filter in the row report builder. Keep an identifier and a source-sheet reference visible while validating it. A row disappearing after it stops meeting the filter does not mean the source task was deleted.
Worked example: two project sheets and one overdue report
A fictional team tracks two signage projects, Site A and Site B, with the same columns. Each row below is a unique task, not a project total or parent row. The review date is 16 October 2026.
| Task ID / source | Task | Owner | Due | Status |
|---|---|---|---|---|
| A01 · Site A | Agree the brief | Alex | 2026-10-12 | Complete |
| A02 · Site A | Approve the artwork | Jo | 2026-10-15 | In progress |
| A03 · Site A | Install the signage | Alex | 2026-10-20 | Not started |
| B01 · Site B | Agree the brief | Sam | 2026-10-13 | Complete |
| B02 · Site B | Approve the artwork | Sam | 2026-10-16 | In progress |
| B03 · Site B | Install the signage | Jo | 2026-10-14 | Blocked |
Define overdue as Status is not Complete AND Due is before 16 October 2026. Both conditions must hold. B02 is due on the review date, so it is not overdue under this rule. Completed tasks are excluded even when their due dates are earlier.
| Task ID | Source | Due | Status |
|---|---|---|---|
| A02 | Site A | 2026-10-15 | In progress |
| B03 | Site B | 2026-10-14 | Blocked |
The expected result is A02 and B03. Keep the review date fixed when reconciling these files. A real report using a relative date must be checked at the actual date and environment settings; the downloaded example does not advance with the calendar.
Download the six source tasks ↓ Download the expected report rows ↓What should the dashboard show?
The dashboard overview describes a visual hub built from widgets. For this example, propose a task summary, the overdue queue and a link back to each source. Agree the meaning of every number before choosing a chart.
| Metric | Expected count | Definition |
|---|---|---|
| All tasks | 6 | Six unique task IDs across both source sheets |
| Complete tasks | 2 | Status is Complete |
| Open tasks | 4 | Status is not Complete |
| Overdue open tasks | 2 | Open AND Due before 16 October 2026; subset of Open |
Two complete plus four open equals six tasks. The two overdue tasks are already inside the four open tasks; adding them again would double-count them. These are task counts, not hours, project completion percentages or evidence that either project is ready to launch.
As a controlled planning check, change B03’s due date from 14 to 18 October in a test copy. The overdue report should then contain A02 only, while the open count stays four. The task still exists and remains Blocked; moving its due date has not resolved the blocker. No Smartsheet account or dashboard was operated to produce these expected results.
Why is a shared report blank or missing rows?
Sharing a report does not grant access to its source sheets. A person opening it directly sees data from the sources they can access. Someone with access to Site A but not Site B may see A02 and miss B03, even though the report owner can see both.
Check the selected sources, filter, report sharing and source sharing before treating a partial view as the whole queue. Test with the intended viewer, rather than only the owner. Hiding columns or selecting a few rows in a report is not evidence that a person cannot open other data through their underlying sheet access.
Write down the audience and the information they need. Then choose an authorised way to deliver it. Report sharing, dashboard presentation and a published link have different access behaviour; do not substitute one for another without reviewing the actual settings.
Why can a dashboard viewer see something different?
A report widget has its own Viewer Mode settings. Last widget Editor uses that editor’s view and can display data from sheets the dashboard audience cannot otherwise access. Their own perspective uses the viewer’s sheet permissions; with a Current User filter, it can show that viewer’s assigned rows.
Publishing a dashboard with Their own perspective selected does not display that report widget’s data. For a blank widget, check mode and publishing context as well as source access. Agree the audience before selecting a mode.
For the fictional example, record whether each intended viewer should see both projects or only their authorised work. Also nominate a maintenance owner: changing the access of the person behind a widget can affect what it displays. Review the real widget after ownership or staff changes.
Does Smartsheet Pro include reports and dashboards?
The reviewed plan comparison includes reports and dashboards on Pro, but limits each Pro report to one source sheet and each dashboard to ten widgets. Business supports multi-sheet reporting and report grouping/summary. “Unlimited reports” is not the same as unlimited source sheets inside each report.
The two-source example therefore needs a plan that supports multi-sheet reports. Business has a minimum of three paid Members. Check the required functions and retained plan together; the 30-day trial FAQ describes a Business trial, so a feature working during evaluation does not prove it is included in Pro.
The legacy Free plan documentation says that plan is closed to new signups. Existing Free users have a different entitlement from a new trial. Account access and ongoing team-plan availability should be recorded separately.
Seat type matters too. The user model guide separates paid Members, free Contributors and eligible external Guests. An action beyond the current seat type can trigger provisional membership when the sharing permission allows it. Ask the System Admin to confirm the actual approval setting and review period. Keep a separate budget for required add-ons and setup work using the software cost checklist.
Use the reporting review before committing
The worksheet gives six proposed checks: source coverage, the overdue rule, a controlled change, direct report access, widget perspective and the retained plan. Actual results, environment details, evidence, reviewer and decisions are blank for your own evaluation.
Keep the task source, report definition and dashboard audience with the handover notes. If the reporting requirement is the reason for buying the software, reconcile the same task IDs across all three layers before relying on the headline figures. The downloads use an editorial column layout; map it to the real environment rather than treating it as a native export.

Frequently asked questions
What is the difference between a Smartsheet report and dashboard?
A report selects information from source sheets. A dashboard presents information through widgets, such as a report view or key metrics. Use the report for the relevant work queue and the dashboard for the audience’s overview; keep each number tied to a defined source and scope.
Does editing a Smartsheet report update the sheet?
Smartsheet describes reports as bidirectional: permitted edits to editable report data update the source sheet, and source changes appear in the report. A report is not a separate copy of the task records. Access and whether the field is editable still matter.
Why is my Smartsheet report blank for another user?
Sharing the report does not share its underlying sheets. A direct report viewer sees data only from source sheets they can access, so the report can be blank or incomplete. Check source selection, filters and the viewer’s report and source-sheet permissions.
Can Smartsheet Pro combine multiple sheets in one report?
The reviewed Pro plan allows one source sheet per report. The two-sheet example needs a plan with multi-sheet reporting, such as Business. Check the retained plan after a Business trial, rather than assuming every evaluated feature is included in Pro.
Do dashboard viewers need access to the underlying sheets?
It depends on the widget configuration. A report widget using Last widget Editor can show data the viewer cannot otherwise access. Their own perspective uses the viewer’s sheet permissions and does not display the report data in a published dashboard. Review the actual mode and intended audience.
Is a task due today already overdue?
Not under this example’s rule. It counts incomplete tasks due before the fixed review date, so a task due on 16 October 2026 is not overdue that day. Define the rule and date basis explicitly before comparing report and dashboard counts.
