CRM & COMMERCIAL WORKFLOWS

CRM vs customer data platform: which customer problem are you solving?

A CRM and a customer data platform can both contain customer information. The buying distinction is the work each system must support: managing relationships and next actions, or collecting and unifying activity for other systems to use.

Describe the decision the team cannot make

A sales team unable to identify who owns an opportunity has a different problem from a marketing team unable to connect product activity across devices. Both may ask for a single customer view, but that phrase does not identify the missing workflow. Write the decision in ordinary language.

For a fictional subscription-software company, sales needs an accountable next action for a prospective customer. Product marketing needs to understand which approved onboarding events occurred before a campaign. One system may participate in both processes, but the data, timing and owners differ.

Use the CRM for relationship operations

A CRM commonly organises people, organisations, opportunities, activities and ownership. Evaluate the actual process: who changes a deal stage, records the next step and corrects a customer detail? The relevant record should help a person complete the next part of the relationship.

A crowded contact list is not proof that the sales process works. Ask a salesperson to find the current account relationship, open opportunity and agreed follow-up. If those basics are unclear, adding more behavioural events may increase complexity without resolving the immediate operating problem.

Use the CDP assessment for event collection and activation

Segment’s introduction describes collecting, transforming, sending and archiving first-party customer data. Its identity-resolution guidance explains how identifiers and rules associate activity with profiles. Those capabilities require a deliberate tracking and identity design.

For the software company, define an onboarding event precisely: what action occurred, in which product environment and with which identifier? Decide which destination needs the event and why. Collecting every available click can create a larger dataset without providing a useful campaign or service decision.

Compare the responsibility boundaries

CRM and CDP operating questions
ConcernCRM assessmentCDP assessment
OwnershipWho owns the relationship and next action?Who owns event definitions and destinations?
IdentityWhich business record represents this person or account?Which identifiers connect activity across sources?
TimingWhen should staff act?How fresh must a downstream event be?
CorrectionWho updates the authoritative detail? How do corrected identities reach destinations?

The categories overlap and products can bundle capabilities. Compare the proposed modules and connections rather than assuming a label guarantees a feature. Ask which team will administer each part after implementation and how conflicting updates are resolved.

Define identity and consent-related handling explicitly

A CRM also has identity rules: HubSpot’s deduplication documentation shows why record matching needs configuration awareness. A CDP does not automatically repair every inconsistency in the source systems. Decide which identifiers are stable and who reviews ambiguous associations.

Document the intended collection and destination rules under the organisation’s applicable requirements. Do not interpret an integration’s ability to send a field as permission to use it for every purpose. Test a changed address, an anonymous-to-known transition where relevant and a removal request using harmless sample records.

Run one end-to-end demonstration

For the fictional company, follow a permitted sample user from a defined onboarding event to the intended destination. Inspect the event, identity association, destination record and resulting audience or staff task. Then send a correction and verify the downstream effect.

For the sales workflow, follow a new enquiry into the account and deal record with a named owner. These demonstrations reveal whether the project needs a CRM improvement, a data pipeline, a CDP capability or several coordinated changes. Avoid comparing two polished dashboards without testing how the records reach them.

Keep a correction route between systems

Choose one field and deliberately correct it in the approved test environment. Observe which system accepts the change and whether another connection later restores the old value. Record the authoritative source and conflict rule. This small exercise often explains more about the proposed architecture than a diagram showing all systems connected with arrows.

Budget for ownership and maintenance

Include event implementation, destination configuration, identity review, monitoring and ongoing schema changes. For the CRM, include sales-process administration and data quality. A subscription fee is only one part of either operating model.

Research the Twilio Segment, HubSpot CRM and Salesforce profiles. The data-quality guide helps with identity decisions. Choose the system responsibilities the business is ready to own, then connect them around a specific customer workflow.

Frequently asked questions

Does a CDP replace a CRM?

Not necessarily. A CDP can support event collection and profile unification while a CRM manages relationship operations. Assess the proposed capabilities and workflow.

Will a CDP automatically fix customer identity?

Identity depends on source identifiers, configuration and review. Do not assume a new platform corrects every upstream data problem.

Where should a small team begin?

Start with a concrete decision or broken workflow. Demonstrate the minimum end-to-end process before buying a broader platform.
