Compare the plan and the payment term together

The Zoho Books UK pricing page checked on 20 October 2026 lists Standard at £12 monthly or £10/month billed annually, and Professional at £24 monthly or £20/month billed annually, excluding local taxes. It lists three users for Standard and five for Professional.

A monthly equivalent describes the rate used in an annual arrangement. Keep it separate from a rolling monthly purchase, especially when comparing an offer from another vendor that shows a different billing period by default.

Use the purchasing workflow as a requirement

The checked Professional card adds supplier bills and payments, sales and purchase orders, multi-currency transactions and inventory among its capabilities. Decide which of those the business must operate inside the books, and which are genuinely handled elsewhere.

For a fictional distributor, write one journey from supplier order to delivery, supplier bill and customer invoice. Identify who enters and reviews each record. A plan suitable for invoicing a few service customers may not cover the distributor’s required purchase process.

Calculate the base commitment

Calculated twelve-month bases at checked rates, excluding local taxes
PlanMonthly billing for 12 monthsAnnual billing equivalent
Standard12 × £12 = £14412 × £10 = £120
Professional12 × £24 = £28812 × £20 = £240

These calculations exclude add-ons and assume unchanged prices. Compare the actual annual payment and cancellation terms with the expected period of use. A smaller annual equivalent is not evidence that every business should commit for a year.

Check capacity before an import

Zoho’s page lists annual invoice limits of 5,000 for Standard and 10,000 for Professional. Keep annual capacity distinct from a monthly allowance. Add expected growth and seasonal activity rather than simply dividing the limit by twelve and treating that result as a monthly policy.

Inventory existing records and import requirements. Test a representative customer, supplier and transaction set in an authorised environment. Keep unknown mapping and reconciliation outcomes open until the accountant has reviewed them.

Retain the operating and renewal brief

Record organisation count, people needing access, purchase workflow, currencies, imports and recurring integrations. Ask the quote owner to identify extra users, capture allowances or other additions relevant to that scope. Avoid treating one organisation’s price as a blanket subscription for every business you manage.
