Xero multiple-company costs: one login is not one subscription
Budget separate Xero organisations, plan choices and extras. A two-company example separates shared access from each business subscription.

Count organisations before counting logins
Xero’s UK FAQ distinguishes the account from the organisations added to it. Adding another business to your login does not establish that its subscription is included. Build the budget around the organisations that need books, then identify the appropriate plan for each.
Keep legal entities, trading names and reporting segments distinct. Ask the accountant which records need their own organisation. A desire for one dashboard does not settle how separate businesses should keep their accounting records.
Give each business its own requirements
Imagine a fictional group with a consulting company and a small equipment business. The consulting company needs frequent invoicing; the equipment business has a smaller document count. Record each organisation’s invoices, bills, payroll, currency and integrations separately.
Also list who needs access to each organisation. A group finance employee may work across both while an external contractor should see only one. Reusing a login structure is not a reason to expose both businesses’ records or to assume the same package fits them.
Calculate a two-organisation base
| Organisation | Assumed plan | Monthly / 12 unchanged months |
|---|---|---|
| Consultancy | Grow at £39 | £39 / £468 |
| Equipment business | Ignite at £18 | £18 / £216 |
| Combined base | Two subscriptions | £57 / £684 |
The checked UK prices are regular rates on 20 October 2026. This example assumes the stated plans fit and does not apply a discount. It is not a quote or a recommendation to split an existing organisation.
Price extras at the organisation where they arise
Keep payroll, payment services and connected applications beside the business that uses them. Confirm whether an integration is licensed per organisation, per connection or under a group contract. A subscription purchased for one organisation should not be copied into the other budget without checking entitlement.
Ask Xero or the accounting firm which multi-organisation or partner terms apply. Record the actual eligibility and retained price; do not assume a first-organisation promotion repeats for every company.
Keep a group renewal schedule
Retain the subscriber, billing owner, regular price, offer end date and access owner for each organisation. Review this list when adding a company or changing accounting firms.
