How does Xero pricing for accountants work?

Separate the practice’s tools from the subscriptions for each client’s books. Joining Xero’s UK partner programme is free, but that does not make every client organisation free. Practice-management access also depends on the package and partner status.

For a useful quote, count the staff who need practice tools, identify the plan for each client organisation and name who holds and pays for each subscription. If you only need software for your own business, use the UK business accounting-price guide instead.

This guide covers UK public product information. A partner benefit, a client licence and the accountant’s professional service are different parts of the total.

The UK partner programme describes the membership and practice benefits. Xero Partner Hub includes client-management tools, with Practice Management as an additional scope. The UK professional Xero Tax page identifies its partner-only audience; this should not be confused with a business-plan tax add-on or a fee for an accountant’s work.

What does Xero Partner Hub + Practice Management cost?

The current UK Practice Management access FAQ lists a 14-day trial followed by £99 per month for up to 10 users, excluding VAT, for new or Bronze practices. It says the package is included for Silver, Gold and Platinum practices.

That allowance counts people using the practice-management package. It is not ten client bookkeeping subscriptions, and £99 divided by ten is not a published per-user tariff. If eleven staff need access, request the appropriate quote rather than inventing a price for an extra seat.

The core Partner Hub overview distinguishes its client-management scope from the additional jobs, time and billing tools. Compare the capabilities your staff require with the package they will actually retain.

How is Xero Ledger different from a business plan?

The current UK Ledger page quotes £2.50 per month excluding VAT, as at 1 June 2025. Keep that published price date with the figure and confirm the amount in the actual proposal. The plan is available through accounting and bookkeeping practices on the partner programme.

The same page positions Ledger for annual accounts preparation without VAT reporting. It describes manual bank-transaction imports and says clients can view their information and reports but cannot code transactions. Those restrictions matter more than the low headline fee.

If the client needs a day-to-day bookkeeping workflow, invoicing or a different level of access, establish the required business plan rather than assuming Ledger covers it. The programme’s discount notes also exclude Simple and Ledger from its business-edition subscription discounts. Do not apply an assumed partner percentage to every product name.

What about Xero HQ, XPM and older Cashbook pages?

Xero’s Partner Hub transition explanation brings the core Xero HQ and Xero Practice Manager capabilities into the new hub. It says the change does not itself alter pricing or partner-programme access. Older names in a guide or a search result should therefore be mapped to the current proposed package.

Search results also surface older UK Cashbook subscription pages. An archived price is not evidence that the same plan can be bought on those terms today. Ask the vendor which product is available for the client, then verify its current features and quote. This guide does not treat an old Cashbook price as a current offer or infer a retirement date.

An eight-client example: one practice fee is not the whole bill

Assume a fictional practice with 5 staff needing Practice Management and 8 client organisations for which the practice pays the Ledger subscriptions. Assume all eight clients have already been confirmed suitable for Ledger. This is an arithmetic illustration using the public figures above, including Ledger’s stated price date, rather than a vendor quote.

Illustrative monthly payments, excluding VAT and all other costs
Assumed arrangementPractice package / monthEight Ledger organisations / monthCombined / monthTwelve monthly payments
Practice paying for the listed package£99.00£20.00£119.00£1,428.00
Practice with confirmed included package access£0.00£20.00£20.00£240.00

The client component is 8 × £2.50 = £20.00 per month in this illustration. The included-access case removes only the assumed practice-package fee. It does not remove those client licences. Both rows hold the stated monthly rates unchanged for twelve months; neither is an annual-prepayment offer or a prediction of renewal prices.

For payroll-person allowances and processing charges, use the Xero Payroll UK costs guide. Implementation, payroll, connectors, other add-ons and professional-service charges are outside the table. A client requiring another plan changes the calculation. A client already paying for an existing subscription also needs a different billing-ownership review.

Who should pay for the client subscription and the accountant?

Agree whether the client subscribes directly or the practice subscribes on the client’s behalf. Record which party receives the software invoice, which party controls the subscriber role and what happens if the professional engagement ends. Existing access to a client’s organisation does not by itself establish who pays for its subscription.

The accountant’s fee can cover bookkeeping, advice, preparation or other agreed work. A software licence price does not establish the price of that service, and a bundled professional quote needs its own breakdown. Before moving a subscription, check the current arrangement and the required approvals; avoid purchasing a second organisation merely because a different person needs access.

What should the practice ask for in a quote?

Use the same scope for each proposed arrangement
Brief itemDetail to confirm
Practice accessStaff needing client-management access versus jobs, time and billing tools; the retained package and status conditions.
Client organisationsA list of organisations, required workflows, proposed plans and the subscriber/payer for each.
Client permissionsWhat the client can view or change; check the actual Ledger or business-plan role rather than the word access.
Tax scopeThe intended UK partner tool, supported client scenario and any separate business add-on or professional work.
Total commitmentCurrency, VAT basis, required add-ons, migration, training, first payment and later standard charges.
Handover and exitWho maintains the connection, handles rejected data, exports records and approves any subscriber transfer.

Use a fictional or authorised example to review one client handover, one staff role and one report. Record the proposed plan and unresolved points alongside the cost. This comparison does not establish that a particular practice qualifies for a benefit or that every client fits the same plan.

Choose the right pricing route

For practice tools and partner-only client plans, start with the applicable partner scope and a written breakdown. For a business buying its own accounting subscription, use the Xero, QuickBooks and FreeAgent cost guide. To compare the bookkeeping workflow, read Xero versus QuickBooks UK.

The Xero profile and accounting directory provide the broader shortlist. Use the cost calculator with actual quoted amounts, keeping the practice and client components separate.

Frequently asked questions

What is the Xero price for accountants?

There is no single price covering every practice and client. Separate partner membership, practice-management access, the practice’s own books and each client organisation’s subscription. Obtain the applicable UK package and billing-ownership breakdown.

Is Xero free for accountants?

UK partner membership is free, and the programme includes practice benefits. That does not make all client subscriptions free. Practice Management access depends on package and partner status, while each client’s bookkeeping plan needs its own scope.

Does the £99 practice package cover ten client subscriptions?

No. The reviewed UK Practice Management FAQ lists £99 per month excluding VAT for up to ten users for new or Bronze practices after the trial. Users of that practice package are a different count from client organisations and their subscriptions.

Can a business owner buy Xero Ledger directly?

The reviewed UK Ledger page makes the plan available through accounting and bookkeeping practices in the partner programme. A business owner should discuss the suitable route with the practice rather than treating Ledger as a general retail plan.

Can Xero Ledger clients code transactions or use it for VAT reporting?

The reviewed Ledger page says clients can view data and reports but cannot code transactions. It positions Ledger for annual accounts preparation without VAT reporting. Confirm the client’s actual required workflow before selecting it.

Does a Xero subscription include the accountant’s professional fee?

A software subscription and an accountant’s professional work are different charges. A practice may bundle them commercially, but the agreed quote must explain the software, services, billing owner and total.
