SharePoint vs OneDrive for team documents: where should files live?
Choose OneDrive or SharePoint for team files. Define the approved copy, review owner, permissions and handover before sharing links.

Choose the home that matches the responsibility
OneDrive for work or school provides an individual document library; a SharePoint team site provides a shared location for a defined team. Microsoft’s document organisation guidance describes OneDrive work files as private by default until shared.
Use that distinction to decide who maintains the content. An individual draft and a department’s approved procedure have different owners and lifetimes. Both can be shared, so “can I send a link?” is not enough to decide which location fits.
A document library is more than a folder name
Microsoft describes a SharePoint document library as a place for team files, including files associated with a project or client. Its information pane and file commands support working with those documents.
Before creating libraries, decide which distinctions people actually use: project, customer, document status, review owner or approved date. A long tree of similarly named folders may obscure the current version. A small number of meaningful locations with consistent naming can be easier to maintain than copying the same file into every department’s area.
Define one approved copy
Imagine a fictional company preparing a sales proposal. A salesperson begins the draft, finance reviews the figures and the delivery team needs the accepted specification. Write down where the working draft lives and where the approved record will remain. Identify who can edit each stage and who is responsible for the final handover.
Avoid treating an attachment in somebody’s email as the only approved record. If multiple copies are necessary, label their purpose and record which one governs the work. The storage decision should make that relationship clearer.
Use a file-placement review
| Document | Responsibility | Placement question |
|---|---|---|
| Private working notes | Individual author | Does anybody else need ongoing access? |
| Department procedure | Named team owner | Which team library retains the approved copy? |
| Customer handover | Delivery owner | Which recipients may open the final files? |
| Restricted internal figures | Approved reviewers | Which access boundary is required? |
This table is a proposed ownership model. Actual permissions, guest sharing and retention settings need the administrator’s review. A document’s business sensitivity should influence its access boundary, rather than merely the folder name.
Check links and maintenance after a move
Pilot the intended workflow with a harmless draft. Have an authorised reviewer open the link using their own account, make the permitted change and find the approved copy afterward. Record whether the link, permissions and document status behave as expected. Check representative customer access separately where external delivery is permitted.
Document the location and owner in the team’s handover instructions. Revisit abandoned personal links when staff roles change. Explore the SharePoint and OneDrive profiles for product context, and use the team knowledge guide when deciding whether the material should become a maintained procedure rather than a loose file.
Frequently asked questions
Can OneDrive work files be shared with colleagues?
Yes. Individual work storage can be shared. That does not by itself make it the best lasting home for department-owned documents.
When should a team consider a SharePoint library?
Consider a team library when documents need a team-controlled location, an agreed maintenance owner and a shared project or departmental context.
Does the folder name control who can read a document?
No. Review the actual permissions and sharing settings. Calling a folder confidential does not establish an access restriction.
