WORD PROCESSING

Word vs LibreOffice Writer:
desktop editing and the documents you keep.

Compare paid Word desktop rights with a free desktop alternative. Put templates, file exchanges, automation and support into the decision.

START WITH YOUR BUYING BRIEF

Compare the retained documents.
Then price the move.

Shortlist LibreOffice Writer when a free desktop editor fits the work and your representative files survive the required handover checks. Retain or shortlist desktop Word when established Word-specific templates, automation or recipient requirements make it necessary. A no-cost download can reduce software purchase cost, but does not establish zero migration effort or identical handling of complex documents.

A sole trader writes letters

Can the routine document be delivered in the required format?

Microsoft Word: Check whether existing Word rights already cover the task.

LibreOffice Writer: Evaluate the free desktop download with the same input and export.

Keep page structure and delivered output in the acceptance notes; do not decide from a screenshot alone.

A business exchanges complex proposals

Do tables, page flow and review marks survive the return?

Microsoft Word: Use the recipient’s required Word application as the acceptance environment.

LibreOffice Writer: Review the returned Word-format copy for conversion differences.

Record required rework and its owner before migrating the template library.

A department relies on automated templates

Which documents contain required automation?

Microsoft Word: Inventory the Word version, template and automation owner.

LibreOffice Writer: Assess a replacement separately; LibreOffice generally uses a different macro environment.

Do not enable unfamiliar macros. This is a dependency inventory, not an automation execution test.

A company wants supported desktop editing

Who resolves issues after rollout?

Microsoft Word: Include licence rights, deployment and support in the retained offer.

LibreOffice Writer: Request a partner support and migration scope where contracted assistance is required.

Compare service hours, supported versions, training and template remediation in the quotes.

DOCX support does not settle a template migration

LibreOffice supports opening and saving Microsoft Office formats, including Word documents. Its separate conversion guidance identifies possible differences in formatting and document features. Treat “opens DOCX” as the start of an acceptance review, rather than proof that an entire template library can move unchanged.

Use a fictional supplier proposal as a first brief: two heading levels, a delivery table, a footnote and one proposed wording change. Add a second copy with the page layout that the business actually needs. Have the receiving editor’s owner inspect the returned files. Record time spent correcting issues instead of inventing a compatibility percentage.

Keep automation out of a routine format check. LibreOffice explains that its macro environment and Microsoft Office VBA generally do not run the same code. List the template, required action and maintainer, then assess a supported replacement. The comparison does not require enabling or running macros.

Compare a desktop entitlement with the full operating cost

Writer is part of the no-cost LibreOffice suite, with documented Windows, macOS and Linux requirements. Desktop Word has paid licensing routes; Microsoft also offers a one-time purchase option. Free Word for the web should be assessed separately because it does not include desktop offline authoring.

The Document Foundation directs community users to community help and recommends ecosystem partner offerings for organisations needing contracted support. Ask what is included in any proposed service, which releases are covered and who owns template remediation.

Build the decision from retained software cost, deployment, training, file rework and ongoing support. Existing suitable Word licences may change the incremental cost of staying. A free replacement can still be a strong shortlist choice, but the business should record its actual migration and handover evidence.

Questions before you choose

Is LibreOffice Writer a free replacement for desktop Word?

Writer is a free desktop word processor. Whether it can replace Word for a particular team depends on its documents, required automation, recipient formats and support needs.

Can LibreOffice Writer save Word DOCX files?

Yes. LibreOffice supports opening and saving Word formats, including DOCX. Review complex formatting and revision details in the receiving application before accepting the handover.

Will Word macros work unchanged in LibreOffice Writer?

Do not assume that. LibreOffice documents differences between its macro environment and Office VBA. Identify automation dependencies and assess them separately from ordinary document editing.

Does switching to Writer remove all document software costs?

It removes the community software purchase fee. Deployment, training, template changes and contracted support can still cost money. Compare the retained operating scope rather than claiming an unmeasured total saving.
