WORD PROCESSING

Word vs Google Docs:
shared drafts, offline work and the final file.

Choose around the document you must deliver. Compare browser access, installed Word, offline preparation and the way edits return to a Word recipient.

START WITH YOUR BUYING BRIEF

Start with the recipient.
Then choose the editing route.

Shortlist Google Docs for a browser-based shared draft when the reviewers can work in the agreed Google account and file format. Shortlist licensed desktop Word when offline authoring, desktop-only features or an established Word template are essential. Free Word for the web is another browser option; it should not be mistaken for the full desktop application. Test the recipient’s actual file, review process and final output before switching.

A proposal is reviewed by four people

Can one owner collect revisions without losing the master?

Microsoft Word: Use the required Word application and review the tracked edit before accepting it.

Google Docs: Agree the shared file and Suggesting permissions; name who accepts the wording.

Use fictional reviewers and a non-sensitive document copy. Record the returned format and acceptance owner.

An author works away from a connection

Can this exact computer and file be edited offline?

Microsoft Word: Confirm desktop Word entitlement and a locally available working file.

Google Docs: Prepare supported-browser offline access while connected and check the file’s ready status.

A browser tab opening online is insufficient evidence. Reconnection and any conflicting edits also need an acceptance check.

A client sends a DOCX template

Must the edited file return in the same format?

Microsoft Word: Identify the Word version needed by the template and recipient.

Google Docs: Choose direct Office editing or a converted Google copy deliberately.

Reopen the returned file in the client’s editor. Check page flow, tables, footnotes and outstanding review marks.

A team sends personalised letters

Does the required workflow include Word mail merge?

Microsoft Word: Microsoft lists mail merge as a desktop feature; confirm the installed version.

Google Docs: Specify the complete alternative workflow and any separate tools rather than assuming feature equivalence.

Use fictional records only. Price required apps and administration with the proposed process.

Direct Office editing and conversion need different file ownership

Google documents two routes: editing an Office file in its existing format and converting it to a Google document. Conversion creates a copy. Some Google-specific tools need that converted format. Decide which route the team is using before a reviewer begins.

For an original acceptance brief, use a fictional three-page supplier proposal. Add a heading, a four-row delivery table, a footnote and a proposed deadline change. Keep the original input, returned editable file and approved delivery PDF under distinct names. The checklist above is a plan for your evaluation, with no claimed pass or failure.

Google describes tracked changes becoming suggestions during conversion, and suggestions becoming tracked changes in the reverse direction. Inspect the actual returned document rather than extending that feature mapping into a promise about all formatting or every review detail.

Offline capability is a workflow requirement

Word for the web and installed Word have different capabilities. Microsoft lists offline authoring, mail merge and certain reference tools on the desktop side. A free browser session does not provide the same working arrangement as licensed desktop software.

Google’s computer offline route needs preparation in Chrome or Edge, the offline extension and enabled access. Check the specific file’s readiness while online. If an organisation manages the browser or account, include its restrictions in the evaluation.

Price what the team retains: application rights, account administration, storage, paid features and training. If colleagues already have a suitable licence, compare the incremental need before purchasing another package. A whole-business suite decision belongs in the separate Microsoft 365 versus Google Workspace comparison.

Questions before you choose

Is Google Docs better than free Microsoft Word?

Compare Google Docs with Word for the web for browser work, and separately with licensed desktop Word for desktop requirements. The right choice depends on the document, reviewers, offline needs and required features.

Can Google Docs work offline like desktop Word?

Google Docs has a prepared computer offline route in Chrome or Edge. Desktop Word is an installed application; Word for the web does not include offline authoring. Verify the intended file and setup before travelling.

Can Google Docs edit DOCX without converting it?

Yes. Google documents direct Office editing that saves changes to the Office format. Converting creates a separate Google copy and is a different workflow.

Are Google Docs suggestions the same as Word Track Changes?

They support a proposed-edit review workflow. Google documents mapping between suggestions and Office tracked changes during conversion. Check the returned file and recipient’s review process rather than assuming every detail is identical.

Turn the comparison into your own evaluation

Use the same criteria and priorities for both products, keep unknowns unassessed and record the plan and evidence behind your ratings.
