Appointment scheduling comparison

Calendly vs Zoom Scheduler

Compare Calendly and Zoom Scheduler for booking pages, calendar connections, meeting scope and the 23 October 2026 change to Zoom Scheduler Basic access.

START WITH YOUR BUYING BRIEF

Which workflow fits your team?

Evaluate Calendly for a dedicated scheduling setup and the retained event, calendar and team package. Evaluate Zoom Scheduler for a booking-page workflow alongside the team’s Zoom environment, after confirming its actual entitlement. Zoom’s dated access change matters: from 23 October 2026, affected Workplace Basic and Pro accounts lose included Scheduler Basic, while qualifying earlier users retain it. Normal Zoom meeting scheduling is a separate capability.

Use the dated entitlement change in the buying decision

The current Zoom support notice says Scheduler Basic is removed from Workplace Basic and Pro from 23 October 2026 for affected users. It preserves Basic access for users activated and onboarded before 4 September 2026. A purchased Scheduler add-on is unaffected. Those dates are more useful for this decision than an undated claim that Zoom scheduling is free.

Before buying or migrating, ask the administrator to record the actual entitlement and whether the account qualifies for retained access. Do not infer the answer from the Workplace plan name alone. Older product pages can describe an offer that no longer applies to a new account.

A meeting invitation and a public booking page are different

Zoom explicitly says the change does not affect ordinary scheduling and hosting of Zoom meetings. The buying question here is whether an external visitor can choose an available appointment through Scheduler, under the account’s retained access. That should not be confused with whether a user can create a normal meeting.

Use a controlled booking to inspect the calendar entry, meeting information, cancellation and organiser ownership. Calendly’s Free and paid boundaries also need to match the same brief. This comparison reports documented access conditions and proposed checks, not a measured reliability or migration result.

Questions before you choose

When does Zoom Scheduler Basic access change?

The notice gives 23 October 2026. Basic is removed from Workplace Basic and Pro for affected accounts; users activated and onboarded before 4 September 2026 retain access. Confirm the account’s entitlement.

Will ordinary Zoom meeting scheduling stop?

No. Zoom says normal scheduling and hosting of Zoom meetings are unaffected. Scheduler booking-page access is a separate product scope.

Are paid Zoom Scheduler add-ons affected by this Basic change?

The dated support notice says purchased Scheduler add-ons continue unaffected. Check the actual paid arrangement and required capabilities.
