Calendly vs Microsoft Bookings
Compare Calendly and Microsoft Bookings for booking pages, Outlook availability, staffed services, team routing, subscription access and appointment ownership.
Which workflow fits your team?
Choose the workflow first. Calendly is worth evaluating for a dedicated booking-link setup with supported calendar connections and paid routing requirements. Microsoft Bookings is worth evaluating when eligible Microsoft 365 access, Outlook availability and staff/service scheduling fit the operating brief. Existing suite ownership can change incremental cost, but it does not prove that either tool meets every appointment requirement.

Separate a personal booking link from a staffed service
A consultant sharing availability and a reception team assigning services need different operating rules. Write who offers the appointment, who can deliver it and what happens when that person is absent. Compare the same appointment type before comparing the interfaces.
Calendly’s event and team arrangement should match that brief. For Microsoft Bookings, choose whether the requirement is a personal page or a shared staff/service page. An ordinary calendar meeting invitation does not demonstrate that either customer-booking workflow has been configured.
Check the suite advantage against the full requirement
If the organisation already holds eligible Microsoft 365 subscriptions, Bookings may have a different incremental software cost from a separate scheduling subscription. Verify the actual plan and administrator settings instead of assuming all Microsoft accounts include the same service.
Calendly’s permanent Free limits are narrower than its paid team scope. Include organiser seats, required routing, calendar connections and optional meeting AI in the commercial review. Define who maintains calendars and resolves failed or changed bookings; this comparison reports no measured speed, conversion or reliability winner.
Questions before you choose
Is Microsoft Bookings free with any Microsoft account?
No. The service description lists eligible Microsoft 365 subscriptions. Existing access through a paid suite is different from an unrestricted standalone free plan.
Does Calendly Free include team routing?
The reviewed Free plan has one event type and one calendar connection. Team routing and round-robin requirements need an eligible paid package.
Which is better for staffed services?
Assess Microsoft Bookings shared service/staff setup and Calendly’s intended team event against the same assignment, absence and change-handling brief. This page does not claim a completed operational benchmark.
