Xero vs QuickBooks UK: costs for three, five or six business users
Compare Xero’s user approach with QuickBooks UK seat allowances. Keep ordinary logins, accountant access and payroll units separate.
In this guide
Count the people who actually use the books
Xero’s UK pricing separates ordinary accounting access from priced usage such as payroll, expenses and projects. QuickBooks’ UK page lists one business user on Simple Start, three on Essentials, five on Plus and 25 on Advanced, with accountant access distinguished.
Count ordinary business users first. A person paid through payroll is not automatically an accounting login, and an accountant invitation is not interchangeable with a spare employee seat.
Apply the seat threshold before annual arithmetic
| Ordinary business users | First listed capacity that fits | 12 unchanged months |
|---|---|---|
| 3 | Essentials: £38/month, 3 users | £456 |
| 5 | Plus: £56/month, 5 users | £672 |
| 6 | Advanced: £123/month, 25 users | £1,476 |
The table tests capacity only. Feature requirements can call for a wider plan sooner, and a package’s capacity is not a requirement to fill all its seats. Promotions and payroll are excluded.
Evaluate Xero by the workflow rather than a seat ladder
For a fictional six-person finance workflow, list who creates invoices, reviews bills, checks reports and administers access. Then identify the Xero plan that fits document limits and required features. Do not select Ignite merely because the team wants inexpensive user access.
If Grow at the checked regular £39/month satisfies the actual brief, its twelve-month base is £468 before VAT and extras. That is a conditional example, not a conclusion that Grow is equivalent to QuickBooks Advanced in every capability.
Test role separation with synthetic records
Have the invoice creator, reviewer and accountant walk through the same fictional transaction. Check what each can read, change and approve. Include someone who should not see a sensitive record.
Document any manual approval outside the accounting system. A plan that admits the required number of people may still lack the control your process needs. Keep the actual observed rights and the proposed role design separate until the trial establishes them.
Recalculate when responsibilities grow
Review the plan when another employee needs access or the workflow adds stock, currency or reporting requirements. Keep recurring extras and the post-offer price in the decision.
Use the QuickBooks entry-plan guide, Xero plan guide, and the Xero and QuickBooks profiles. Compare matched requirements rather than nominal seat prices alone.
Frequently asked questions
Can six ordinary business users fit QuickBooks Plus UK?
The checked Plus allowance is five. Six ordinary business users exceed it; accountant access is a separate allowance.
Are Xero payroll people the same as accounting users?
No. Keep ordinary accounting access, people paid and any priced expenses or project usage as distinct units.
