Accountant access and billing are different decisions

QuickBooks’ UK accountant pricing offers client subscription arrangements for practices. Its accountant-tools guidance describes wholesale billing to the firm. Neither should be confused with simply inviting an accountant to a business subscription.

Start with two questions: who needs permission to work in the books, and who is responsible for paying the software supplier? They can have different answers.

Request the regular software charge and the professional-service fee as separate lines, even when the firm presents one monthly bill. This makes renewal and scope changes easier to understand.

Use a three-client example without inventing a discount

Imagine a fictional practice supporting three businesses. Two need ordinary bookkeeping and one needs a wider user allowance. Record the package and billed price for each client rather than applying one advertised percentage to the entire practice.

If the firm’s written software charges are A, B and C per month, its software subtotal is A + B + C. Add the agreed service fees separately. Leave those inputs blank until the practice confirms eligibility, promotions and retained rates; the public client offer is not evidence of the firm’s actual invoice.

Agree what happens when the relationship changes

Before starting, name the client’s authorised owner, billing contact and accountant administrator. Document how access is removed, what records are retained and what happens to software billing if the business changes firms.

Ask whether a discount continues after a transfer and who must approve the change. Do not assume either automatic continuity or automatic loss. Review the actual terms with the parties who control the account.

Choose the client plan before choosing the payment route

Confirm ordinary business users, accountant access, payroll and required workflows. A discount on the wrong package does not solve a missing capability.

Use the Simple Start versus Essentials guide, first-year cost checklist and QuickBooks profile to prepare the discussion. Retain the final scope and renewal date with the practice agreement.

Frequently asked questions

Is inviting an accountant the same as wholesale QuickBooks billing?

No. Access determines who can work in the account; direct or practice billing determines who pays the supplier.

Will a practice discount continue if I change accountants?

Confirm the actual transfer and discount terms. The original practice offer does not establish the price after a handover.
