Match client capacity before comparing the price

The FreshBooks UK pricing page checked on 20 October 2026 shows regular monthly rates of £16 for Lite, £30 for Plus and £42 for Premium. The listed billable-client limits are five, 50 and unlimited respectively.

Count the clients that need billing, not the number of invoices you hope to send. An unlimited-invoice description does not remove the package’s client allowance. Confirm how archived and returning clients count before changing records to fit a smaller plan.

Compare regular subscriptions on a matched basis

PlanBillable-client allowance12 unchanged monthly payments
Lite5£192
Plus50£360
PremiumUnlimited£504

The page also displays an introductory discount and an annual-payment option. Keep those schedules separate. The table is multiplication of the regular monthly references, not a first-year offer or an annual-billing quotation.

Add collaborators by role

The checked page lists additional team members at £8 per person per month and distinguishes accountant access on applicable plans. Do not turn every external adviser into an assumed paid employee seat.

For a fictional consultancy with 12 billable clients and two additional paid team members, Plus is the first of these three packages whose client allowance fits. Its regular monthly base plus those two seats is £30 + 2 × £8 = £46, or £552 for twelve unchanged months, before payment services, taxes and other required items.

Include the way clients pay

Ask which payment methods the business intends to offer, their processing terms and whether an optional payments feature is required. Keep those charges separate from invoices recorded in the accounting system. A £1,000 invoice does not establish a processing charge until the payment route and its terms are known.

Test a synthetic invoice, receipt and correction in an authorised trial. Check what the client receives, who can see the transaction and how the bookkeeper reconciles it. Record observations instead of assuming a plan comparison proves workflow suitability.

Retain a growth and renewal case

Recalculate when client numbers, staff access or required reporting changes. Use the FreshBooks profile and first-year accounting budget alongside the supplier quote.

Record currency, tax treatment, billing schedule and the price after any introductory period. The useful comparison is the retained service for the expected clients and roles.
