Resolve the hosting requirement before the feature tour
Write the hosting requirement as an acceptance condition with an accountable approver. Specify the systems that must connect and how they may exchange data. An advertised deployment option needs an implementation proposal; it does not establish that every feature or integration works identically in every arrangement.

Choose an operating model that can be maintained
A service workflow needs a maintainer after launch. Name the owner of request forms, approval logic, roles, reports and integration credentials. Have that person review a routine change to the proposed configuration during the evaluation.
Include upgrade, training and support responsibilities in the delivery plan. An impressive demonstration is useful context, but it does not measure your organisation’s administration effort, user adoption or future operating cost. Use the same acceptance brief in both proposals.
