CLOUD STORAGE / FILE AVAILABILITY

Dropbox vs OneDrive:
Storage, sync and offline access.

Compare personal storage allowances, local disk settings, offline work and account scope before choosing a cloud-file service.

START WITH YOUR BUYING BRIEF

Choose the file workflow.
Then compare the account.

Dropbox and OneDrive both deserve a shortlist for cloud files, but a cloud allowance, a local file name and an offline-ready copy are different things. Compare the desktop and mobile tasks on the required devices, then the retained personal or work account. OneDrive’s published free personal allowance is larger than Dropbox Basic’s starting allowance; that alone does not settle the business package, permissions or actual working process.

Seven differences that change the shortlist

Dropbox vs Microsoft OneDrive: plan and workflow boundaries

Starting free personal capacityBasic starts with 2 GB.A free personal Microsoft account has 5 GB of cloud storage, shared with other covered account content.
Keep the name visible while saving local spaceMake online-only for the chosen item.On Windows, Files On-Demand uses Free up space.
Prepare desktop files for offline workMake available offline and check completion. On Windows, Always keep on this device and check completion.
Choose folders for one computerSelective sync removes unchecked folders locally while keeping them online.Choose folders removes unchecked folders locally while retaining them online; settings are per computer and account.
Offline folders on mobileIndividual offline files are available to all users; whole folders need eligible paid plans.Android offline folders require an eligible Microsoft 365 subscription; reading and editing need separate checks.
Deleting synced contentDeleting an online-only file is a deletion across Dropbox, not an availability switch.A deletion in the synced OneDrive folder is reflected online and vice versa.
Personal versus organisation needsCompare the retained account/package and any required team administration separately from Basic capacity.Personal Microsoft and organisation-managed work/school accounts are separate arrangements.

A laptop is nearly full but the files must stay online

Can you reduce local storage without deleting the cloud copy?

Dropbox: For a harmless synced sample, assess Make online-only.

Microsoft OneDrive: On Windows, assess Free up space in the synced OneDrive folder.

Confirm the intended online copy first. Record the file state and local observation; do not use Delete as a space-saving experiment.

A traveller needs a document with no connection

Is the content ready on the intended desktop?

Dropbox: Prepare the sample with Make available offline.

Microsoft OneDrive: On Windows, prepare it with Always keep on this device.

Wait for completion and use a compatible local application. Reopen the sample offline and reconcile after reconnecting; these tasks have not been performed here.

An individual compares the starting free allowances

How much account space is actually available?

Dropbox: Start with the published 2 GB Basic reference and inspect the actual account allowance and usage.

Microsoft OneDrive: Start with the published 5 GB personal-account reference and inspect shared cloud usage.

These are personal starting references, not paid-team quotes. Bonuses, existing usage and a different subscription can change the available space.

A business separates work files from personal storage

Which account and administrator own the working arrangement?

Dropbox: Identify the retained Dropbox account and required team controls in the proposal.

Microsoft OneDrive: Identify the organisation-managed work/school account and assigned Microsoft 365 entitlement.

Specify access, file location and the handover owner. More free personal space does not establish the required business permissions or a completed migration.

Compare cloud capacity separately from computer storage

Dropbox’s Basic offer starts with 2 GB. Microsoft’s free personal account has 5 GB of cloud storage; its quota guidance includes OneDrive files and photos alongside covered email attachments. Check actual usage instead of assuming the headline allowance is entirely unused file space.

Making content online-only reduces local availability. It does not increase either account’s cloud allowance. A file name in Finder or File Explorer, the content downloaded to that computer and the cloud record answer different questions. Identify the account and authoritative location before changing the working set.

Paid storage also needs the actual subscription cohort. Microsoft’s current guidance gives new Family and Premium subscriptions from 8 October 2026 a 2 TB shared pool; existing subscribers generally transition at their first renewal on or after 2 May 2027, with eligible earlier plan changes affecting timing. The UK offer page also lists 2 TB shared for new Family subscriptions. This is not a universal 1 TB-per-person assumption. Verify the actual account and renewal offer before comparing a paid capacity.

Match the desktop control to the required file state

For a visible online item, Dropbox documents Make online-only. The Windows OneDrive route is Free up space. To prepare a local working copy, use the retained app’s offline control: Dropbox’s Make available offline or OneDrive’s Always keep on this device on Windows. Confirm the download and a suitable local application rather than relying on a visible file name.

A downloaded OneDrive file and an always-kept file are different states. Microsoft documents that configured Storage Sense can return ordinary locally available files to online-only, while always-kept items are exempt. Record the selected state before travel and check the device again. Other operating systems and administrator policies need their own matching instructions.

Folder selection is local configuration, not cloud deletion

Dropbox selective sync operates on folders and their contents, with preferences unique to each computer. OneDrive’s Choose folders settings are unique to each computer and account. In both documented routes, excluding a folder removes it locally while retaining the online content. Review the exact device and account whose folder view needs changing.

OneDrive also documents folders that cannot be unchecked through this control, including important PC folders and Personal Vault. A missing option should lead to the matching setup guidance, not an improvised deletion. Both providers describe synced deletion separately: deleting an online-only Dropbox item or a file in the synced OneDrive folder is not a way to preserve the cloud copy while only freeing disk space.

Keep Android reading and editing separate

Dropbox’s mobile instructions distinguish individual offline files, available to all users, from entire offline folders on eligible paid plans. Microsoft’s Android OneDrive help also gives a subscription requirement for offline folders. Confirm the package and the precise mobile task; desktop menu names do not establish mobile entitlement.

Microsoft’s Android help marks items kept for offline reading as read-only and warns that an offline edit can be saved as a new file without changing the original. Its surrounding guidance also discusses syncing on reconnection. Treat that as a reason to identify the actual app and authoritative copy, not a promise that every mobile edit updates the same source file. Verify the saved result in a controlled practice exercise.

Keep account ownership and the observations with the shortlist

Microsoft distinguishes personal accounts from work/school accounts created and managed by an organisation. Keep the assigned entitlement and file location with the buying brief. For either provider, name the person responsible for access and handover, and check the required business controls in the actual proposed package. A consumer storage reference does not settle those organisational requirements.

The downloadable note below is original fictional material for an authorised practice account. The twelve-row worksheet gives each provider the same six proposed checks. Actual app, account, platform, status and observations remain blank. Use a harmless copy, keep private evidence in your own notes and preserve the baseline before making a small practice edit.

Compare online presence, availability settings, local reopening, folder selection, mobile reading and reconnection separately. Leave a missing or unsupported step unresolved. No Dropbox or OneDrive client was operated for these examples, and no sync-speed, storage-saving, conflict-resolution or recovery result is supplied.

Questions before you choose

Which has more free storage, Dropbox or OneDrive?

The reviewed starting personal allowances are 2 GB for Dropbox Basic and 5 GB for a free Microsoft account. Microsoft’s cloud allowance also covers other included account content. These are not paid-business package comparisons; check actual usage and eligibility.

Does Make online-only or Free up space delete the cloud copy?

Those are availability controls for saving local space in the documented app workflows. Deleting the synced item is a separate action that can affect the cloud copy. Confirm the account and online file before changing availability.

Do folder selections apply to every computer?

Dropbox documents selective sync as unique to each computer. OneDrive documents its custom folder selection as unique to each computer and account. Check the device and account involved.

Is a downloaded OneDrive file guaranteed to stay available offline?

On Windows, an ordinary locally available file differs from Always keep on this device. Configured Storage Sense can return ordinary files to online-only; always-kept files are exempt. Confirm the intended state and completed download.

Will an Android OneDrive offline edit update the original file?

Microsoft’s Android offline help warns that an offline edit can be saved as a new file without changing the original. Identify the actual app and working copy, then verify the saved result rather than assuming the Windows desktop workflow applies.

Is personal OneDrive the same as a work or school account?

No. Microsoft distinguishes a personal Microsoft account from an organisation-managed work/school account. Confirm the retained licence, administrator and file location rather than applying the free personal allowance to a business arrangement.

Does Microsoft 365 Family always provide 1 TB per person?

No. The reviewed guidance gives newer Family/Premium subscriptions a shared pool and stages existing-subscriber transitions around renewal dates. Eligible plan changes can affect timing. Check the current account and offer instead of assuming one allocation for every subscription.

Can I take entire folders offline on mobile for free?

Do not infer that from desktop availability. Dropbox documents a paid-plan boundary for entire mobile offline folders, and Microsoft’s Android OneDrive help specifies a subscription for offline folders. Check the exact account, platform and task.
