Acuity Scheduling vs Microsoft Bookings
Compare Acuity Scheduling and Microsoft Bookings for service appointments, staff calendars, intake, payments, subscription access and client change handling.
Which workflow fits your team?
Evaluate Acuity when the service brief needs client intake, a payment-enabled booking flow and calendar capacity under a dedicated scheduling subscription. Evaluate Microsoft Bookings when eligible Microsoft 365 access, Outlook and shared staff/service appointments meet the requirement. Do not assume the same payment or intake workflow from the fact that both products provide a booking page.
Seven differences that change the shortlist

Four worked buying briefs
These are hypothetical scenarios with explicit assumptions. They do not establish equal capabilities, measured usability or a negotiated price.
| Requirement | Proposed exercise | Accept when |
|---|---|---|
| Service intake | Can the client provide the information staff actually need? | The required fields reach the responsible staff without unnecessary personal data. |
| Staff availability | Can the intended staff or location deliver the booked service? | The appointment reaches the correct person and respects configured availability. |
| Payment boundary | Who confirms a payment, cancellation or refund? | Payment and booking ownership are explicit; unsupported steps remain visible in the brief. |
| Client changes | Can the client and staff understand a changed appointment? | Both sides can identify the final appointment and responsible service owner. |
Service intake
Can the client provide the information staff actually need?
Acuity Scheduling: Prepare a service with a minimal non-sensitive intake form.
Microsoft Bookings: Prepare the equivalent service and supported booking fields.
The required fields reach the responsible staff without unnecessary personal data.
Staff availability
Can the intended staff or location deliver the booked service?
Acuity Scheduling: Use the retained calendar allowance and intended staff/location structure.
Microsoft Bookings: Use eligible staff and the shared service availability rules.
The appointment reaches the correct person and respects configured availability.
Payment boundary
Who confirms a payment, cancellation or refund?
Acuity Scheduling: Inspect a permitted provider test flow and the appointment state.
Microsoft Bookings: Document the separate payment arrangement if the brief requires one.
Payment and booking ownership are explicit; unsupported steps remain visible in the brief.
Client changes
Can the client and staff understand a changed appointment?
Acuity Scheduling: Use a controlled reschedule and cancellation.
Microsoft Bookings: Use the equivalent permitted change workflow.
Both sides can identify the final appointment and responsible service owner.
Write the service appointment before choosing calendars
A service appointment combines more than an available time: it may need a staff skill, location, duration, preparation instructions and client information. Define those requirements with a small synthetic booking before deciding how many calendars or accounts to purchase.
Acuity’s reviewed tiers use calendar allowances, while Microsoft Bookings operates through eligible Microsoft 365 access and staff/service configuration. Neither counting calendars nor counting licences alone describes whether the real appointment can be delivered. Include absence handling and responsibility for changing a service.
Keep payment handling and client information in scope
Acuity lists payment integrations and intake forms, but provider eligibility, processing charges and the actual booking-to-payment workflow still need confirmation. Check what happens when an appointment is cancelled and who handles any refund. Use test mode where available rather than real client payment data.
For Microsoft Bookings, identify any separate payment requirement in the proposal instead of assuming suite access supplies it. Compare the complete retained subscriptions and operating work. Acuity’s temporary trial and Bookings’ eligible paid-suite inclusion are different access arrangements; this page gives no measured total-cost or appointment-conversion winner.
Questions before you choose
Does Acuity Scheduling have an ongoing free plan?
No. The reviewed pricing page explicitly distinguishes its seven-day free trial from ongoing paid appointment scheduling.
How many calendars do the reviewed Acuity tiers include?
The reviewed Starter, Standard and Premium tiers list 1, 6 and 36 calendars respectively. Confirm the current package and any separately quoted Enterprise scope.
Does Microsoft Bookings inclusion establish payment collection?
No. Treat payment collection as a specific requirement to verify, including any separate integration and operational handling. Do not infer it from an eligible Microsoft 365 subscription alone.
