GMAIL STORAGE HELP

Gmail storage full after deleting emails? What to check

Check shared Google storage, the bin, archived messages and update delays. A worked budget explains why removing email may still leave the account over its limit.

Why does Gmail still say my storage is full?

Check the storage breakdown for the same Google Account. Gmail shares capacity with Google Drive, Google Photos and counted backups. Moving messages to the bin does not immediately remove them from that allowance; archiving keeps them in the account.

Even after permanent removal, a large cleanup can take up to 48–72 hours to appear in the storage figure. First establish what changed, which service used the space and whether the total is actually below your limit.

Start with the account and the storage breakdown

  1. Confirm the email address shown in Gmail and the storage manager.
  2. Record the displayed allowance, total used and usage by service.
  3. Identify the action you took: archive, move to bin, permanently remove, or free device space.
  4. Record when that action finished and whether new backups are still adding data.

Open Google One’s storage view for a personal account. Google’s storage explanation describes the shared personal allowance of up to 15 GB. A different account or a managed Workspace quota needs its own check; do not assume every Gmail inbox has the same 15 GB arrangement.

Archive, bin and device cleanup do different things

What the action changes
ActionEffect to checkWhy the account can still be full
Archive a Gmail messageRemoves it from the inbox; it remains in All mail.Inbox organisation is different from releasing cloud storage.
Delete in GmailMoves the message to the bin, normally for up to 30 days.Gmail bin and spam still count towards storage.
Permanently remove selected contentRemoves the selected data without the ordinary bin recovery route.Other services or an update delay can still explain the warning.
Use Google One cleanupRead the specific service and confirmation before proceeding. The documented Gmail and Drive cleanup route can delete permanently.
Free up space on this device in Google PhotosRemoves backed-up local copies from the device. The backed-up cloud library remains.

The archive instructions, Gmail deletion instructions and Google One cleanup instructions describe different actions. Review the items and the confirmation shown in the actual interface before approving permanent removal. Keep any required records or independently checked copies first.

For the phone-specific distinction, Google Photos’ device-space explanation says backed-up photos remain available in the cloud after local copies are removed. More free phone storage does not establish a lower Google Account total. Similarly, Google Drive has its own bin and file-deletion process.

A worked example: deleting email is not always enough

Assume a fictional personal account has a 15 GB allowance: Gmail uses 2.4 GB, Drive 4.8 GB and Photos 8.1 GB. That is 15.3 GB in total. Each service figure already includes its counted bin content; do not add the bin again as a fourth service.

Hypothetical shared-storage budget; decimal GB for illustration
StageCalculated totalPosition against 15 GB
Starting usage: 2.4 + 4.8 + 8.115.3 GB0.3 GB over
Archive 0.2 GB of messages15.3 GBNo storage released
Move those messages to the bin15.3 GBStill counted
Permanently remove that 0.2 GB15.1 GBStill 0.1 GB over
Also remove 0.4 GB of counted, owned Drive content14.7 GB0.3 GB below
A later backup adds 0.5 GB15.2 GB0.2 GB over again

These are assumed quantities, with every other item held constant. They are not measurements from a Google Account, a deletion recommendation or a prediction of when the display refreshes. The point is to reconcile the whole account, including new uploads, rather than count how many messages disappeared from the inbox.

Find relevant messages without deleting the search results

On the computer web interface, search can narrow the review. These queries only identify candidates; matching a query does not make a message disposable.

  • has:attachment larger:10M — messages with attachments and a size above the stated threshold.
  • older_than:2y has:attachment — older messages with attachments.
  • in:anywhere larger:10M — include spam and the bin in a size search.
  • in:archive — find archived messages that still belong to the account.

Google’s search-operator reference defines these filters. Review individual messages and attachments. In conversation view, check which messages are selected: a thread shown in the results is not a precise storage-recovery estimate.

How long should the storage figure take to update?

Google’s storage-management guidance allows up to 48–72 hours after deleting many files. A stale figure immediately after a large cleanup therefore does not prove the cleanup failed. Record the time and compare the same account’s breakdown later, while accounting for new uploads.

A storage purchase is a different case. The upgrade troubleshooting guide says new capacity can take up to 24 hours to become available. If it is still wrong after that period, check whether the purchase appears on the intended account and use the documented support route. Repeating purchases or deleting more content at random does not establish which cause applies.

Why did removing Drive files or old photos make little difference?

Some visible items do not consume your quota. Under Google’s counting rules, files in “Shared with me” use the owner’s storage; copies you create and files you upload are different. Removing someone else’s shared file from your view is not equivalent to releasing your own stored bytes.

Photos backed up in Storage saver, formerly High quality, before 1 June 2021 do not count towards the allowance. Original-quality photos have different treatment. Removing many non-counting photos can therefore change the library without reducing the counted total. Check the item’s actual storage status rather than estimating from its age or the number selected.

Android WhatsApp backups also count. Google’s backup guidance explains that deleting one without changing the underlying backup setup can lead to another backup appearing later. Establish the required recovery copy and ongoing backup size before choosing what to retain.

What if this is a work account, or I need more capacity?

For a work or school Workspace account, ask the administrator to check your assigned quota and organisation storage. The Workspace troubleshooting note makes clear that the administrator controls the quota. A personal Google One purchase is not a substitute for that check.

For a personal account, compare the current total and expected new backups with the capacity you need. Google One increases shared account storage. Its allocation example shows a standard 100 GB plan as 15 GB of base storage plus 85 GB from the membership: 100 GB total, rather than 115 GB. Check the actual account, any promotional storage and the current plan before committing.

If you are choosing a company email service, use the Gmail and Microsoft Outlook comparison to separate mailbox hosting, administration and application rights. The Google Drive profile also distinguishes personal storage from organisation-owned shared drives.

How do I know Gmail is working again?

Once the account shows usable space, check the actual mail symptom. Google’s full-storage guidance says messages sent to a full account go back to the sender. Do not assume a message that bounced will arrive automatically after capacity returns; ask the sender to resend anything important.

Use a small test with an address you control and check the result in both directions. If the account is below quota but mail still fails, retain the exact error, time and account identity for Google support or your Workspace administrator. An updated storage figure and a completed delivery test are different observations.

Frequently asked questions

Does archiving Gmail messages free storage?

No. Archiving removes messages from the inbox while keeping them in All mail. It changes organisation rather than removing the stored messages.

Does the Gmail bin still use Google storage?

Yes. Gmail bin and spam count towards the allowance. Ordinary deleted messages can remain in the bin for up to 30 days; permanent deletion removes the usual recovery option.

Why is Gmail full when Google Photos uses most of the space?

Personal Google storage is shared across Gmail, Drive, Photos and counted backups. Gmail can be affected by the account total even when the inbox is relatively small.

How long does Google storage take to update after a large deletion?

Google allows up to 48–72 hours for storage usage to update after deleting many files. A new storage-plan purchase has a separate activation window of up to 24 hours.

Does freeing space on my phone reduce Google cloud storage?

Google Photos’ device-space feature removes local copies of backed-up photos while retaining the cloud library. Check account storage separately from device storage.

Will emails that bounced while Gmail was full arrive later?

Do not assume automatic delivery after space returns. Google says messages sent to a full account go back to the sender. Ask for important messages to be resent and verify delivery.
