PayPal vs Square
Compare PayPal and Square for online checkout, in-person software, hardware compatibility, ecommerce connections and the costs behind a free app or account.
Which workflow fits your team?
Consider PayPal when its selected Checkout or Expanded Checkout integration and separate POS offering fit your selling channels. Consider Square when its payments and selected business software fit the day-to-day shop, restaurant or service workflow. Compare a complete online or in-person operating brief: a PayPal button and a Square POS subscription are different scopes.
Seven differences that change the shortlist
| Buying question | PayPal | Square |
|---|---|---|
| Online product | PayPal Checkout and Expanded Checkout have different scope | Online payments, checkout and payment-link routes |
| In-person product | Separate PayPal POS app and supported hardware | Square POS apps and supported hardware |
| Business workflow | Confirm product, inventory and reporting needs in POS scope | Select general or sector-specific software scope |
| Free access | Free account signup or app download does not remove processing fees | UK Free software plan still has processing charges |
| Hardware fit | PayPal POS works with its payment infrastructure | Confirm the chosen Square device and software compatibility |
| Commercial boundary | Match the chosen checkout, POS and optional services | Match payment route, card mix, hardware and retained software |
| Operational handover | Define orders, refunds, reporting and ownership | Define equivalent orders, refunds, reporting and ownership |
Four worked buying briefs
These are hypothetical scenarios with explicit assumptions. They do not establish equal capabilities, measured usability or a negotiated price.
| Requirement | Proposed exercise | Accept when |
|---|---|---|
| Counter sale | Can the proposed POS record the intended product and payment? | The sale, item and operator record match the required shop workflow. |
| Web order | Can the ecommerce platform use the required checkout route? | The intended platform, method and order confirmation are supported. |
| Return workflow | Can staff connect a return to the original payment? | Authorised roles can explain the return, refund and inventory effect. |
| Complete cost | Does the quote reflect the actual selling channels? | No required hardware, processing route or software tier is omitted. |

Compare the same selling channel first
Start by separating counter sales, ecommerce orders, payment links and invoices. Each channel can have its own integration, device, operator and charging rules. Write the relative need for each channel before treating two familiar payment brands as identical business systems.
PayPal distinguishes its online Checkout products from its POS service. Square combines payments with general and sector-specific software. For each vendor, inspect the exact product that would be retained and the connection to the existing store or order system.
A free app is only one part of the budget
Square’s UK Free plan has no monthly software fee, but transactions still incur processing charges. A PayPal account signup or free POS app download also does not remove live processing costs. Count devices, required software capabilities and the payment routes used by the business.
Use controlled demonstrations or official test environments for the evaluation. Do not collect real customer card details for a comparison. This page does not report completed POS testing, a conversion result or a universal lower-cost provider.
Questions before you choose
Is Square Free free payment processing?
No. It is a software plan with no monthly software charge. Processing fees still apply, and hardware or optional paid tools can add costs.
Is PayPal POS still called Zettle?
The reviewed UK page says Zettle is now PayPal Point of Sale. It is a separate scope from choosing an online PayPal Checkout integration.
Can any card reader be used with either service?
Do not assume that. Check the supported device, application, region and payment infrastructure for the selected service.
